When is the new web form at GXS available for ordering? The new web form at GXS will go-live on November 3rd, 2010. Users of the Sterling web form should begin placing orders through the GXS site starting November 3rd. The Sterling form will be officially shutdown by November 17th. 2. Is training available for using the new GXS web form? Yes – a training webinar was conducted on Oct. 26th. This session was recorded and is available at www.gxs.com/dpsg. 3. If for some reason I have issues getting into the new GXS site, how can I place my order? First, you can call the GXS help desk for assistance in logging in and using the site. Second, you can still access the Sterling web form site through November 17th, although your order acknowledgement will be sent to the GXS site. Third, you can contact your CSR to place an order for you. 4. How do I find the GXS web form? The web form is available at http://tradinggrid.gxs.com 5. How do I login? The login is the email address you setup during the registration process. You also setup your password during that registration process. If you forget your password, you can call the GXS help desk – provide them your login (email address) so they can reset your password. Once you’re in the site, you can setup the security questions to help retrieve a forgotten password yourself. 6. What are the system requirements for this web form? Supported Internet browsers: Internet 5.5+ Firefox 2+ Netscape 7.2+ Screen Resolution: 1024 x 768 To view and save files in .PDF format, you will need the Adobe Reader. The Document Manager system requires a one-time installation of the Lotus Forms Viewer. The system will walk you through this installation the first time you open a document. If you have any issues installing the Lotus Forms Viewer, contact your IT administrator to download it for you. 7. I’m having problems getting the Lotus Forms Viewer installed. What do I do? No admin rights to install software on PC Solution: Get admin rights granted from user’s IT dept, or have user’s IT dept install Viewer and/or Java VM 2. IBM Lotus Form Viewer installed, but no Java VM software present Solution: Download latest version of Java VM and install Java VM 3. IBM Lotus Form Viewer installed, but Java VM lower than 1.5 (version 5) Solution: Uninstall older version of Java VM and install latest Java VM software 4. Correct Java VM version installed, but existing IBM Lotus Form Viewer lower than current 3.5.1 (user had 3.0.x) Solution: Uninstall older version of IBM Lotus Form Viewer and install latest version from GXS web form Functionality 1. How many days will I be able to see my orders and order acknowledgements? Documents are retained on the GXS web form for 45 days. You have the option to save any of your documents to CSV or PDF formats to retain offline. You can also follow up with your CSR for information on orders older than 45 days. 2. When I get the order acknowledgement from GXS, will I be able to see back-ordered items and not available items? No – that detail will come from your CSR. 3. Will we continue receiving a faxed copy of the order acknowledgement? Yes – if you receive a faxed copy of the order acknowledgement today, then that will stay the same once you move to the new GXS web form. 4. What document types will I see in my inbox? The only documents you will see in your inbox are Order Acknowledgements. 5. Can we see product pricing while placing the order? No – just as on the web form at Sterling, pricing will not be available on the GXS web form. 6. Is the comments tab in the send box for CSRs or users? Will the comment be reflected in the order? No – those are notes you can record for yourself, but they will not be sent to Dr Pepper. 7. I don’t see anything in my product list. The GXS order form will only show you 25 products per page. If you have more than 25 products, you need to click the “Next” button to see the rest. You do need to save your order BEFORE moving to the next page. 9. My product list is too long. Can I filter the list for just certain products? Yes – you can use the “Brand” drop-down to filter your product list by brand. Business Processes 1. Does this effect our days of delivery and ordering? No – you still need to follow the day of the week policy. That is not changing. 2. How is the product you order determined? By the customer number? Yes – the product list is determined by the SAP customer number. 3. Who is our CSR? The same as before? Yes – your CSR has not changed. 4. Will I be able to use the same PO#s to order Hawaiian Punch and my regular order? No – separate POs are still required for Hawaiian Punch. Page 5 of 5
