The Clerkship and Elective Program Manager will notify the clerkship coordinator who will notify the appropriate faculty and house staff. All excused absences are subject to being made up at the discretion of the course/clerkship director. In the event of extended absences the Office of Student Affairs will consult with the clerkship/course director. A cumulative absence of two days or more from a four-week clerkship or three days or more during an six or eight-week rotation could result in a grade of Incomplete, Withdraw, Condition or Fail unless the absence is approved ahead of time by the Office of Student Affairs. Personal medical care including preventive care, personal illness, family emergencies, jury duty, the Clinical Practice Examination (CPX), the USMLE Step 2 Clinical Skills, or Clinical Knowledge examinations are examples of legitimate reasons for being absent. Students may be excused to meet with their advisor or the financial aid officer. Students with leadership positions in national organizations may be excused so that they can fulfill their leadership responsibilities. Students who are presenting their work at professional meetings may be excused for enough time to travel and present their research but may not be able to attend the meeting in its entirety. Students are expected to use free months for residency interviews, but in the event that an interview is offered during a clinical course, the absence will be granted at the discretion of the clinical preceptor. Visits to family and friends and prepurchased airline tickets are not example of acceptable reasons for being absent from a clinical rotation. We understand that some family events such as weddings of siblings are important to work- life balance. All requests for absence due to such events must be submitted to the clerkship and elective program manager at least 90 days Action Items See attached with summarized discussion and further questions. Obtain copies of LCME Competencies are used for determining curricular content, educational structure and assessment Timeliness of grades…last iteration everyone was on time Unresolved issues: Learning environment…there has been lots of effort towards decreasing mistreatment and promoting learning environment, but should be brought up in session VOLUNTARILY during clerkship director sessions We are continuing to search for opportunities and are track for class size increase to 180-200 Are we ensuring that all students meet requirements for clinical log? How are we managing this? Significant vulnerability Our role for oversight of offsite clerkships, particularly in Asheville Other: Residents at Teachers curriculum and how they are made aware of objectives Mid clerkship review Monitoring of clinical experience and adjustments made Duty hours policy All teachers are “faculty”; all AHEC clinicians have faculty appointments questions and distribute prior to final visit. Review final documents sent to LCME. Obtain duty hours policy and distribute EVERYONE review log IMMEDIATELY AND SEND CHANGE IN STATUS (observed, participated, performed, etc) for CLINICAL LOG PROCEDURES…send these recs to Alice and Dale for updating immediately. Will need to move up to Education Committee: Process for Clinical Log Additional: Faculty need to know about clinical log Core didactics How is common assessment working? Process for Clinical log: Student has responsibility to come to advisor in the spring of their third year with clinical log for review so deficiencies can be identified.
