Role of the European Council Coordinator
1. Process applications and deposits and maintain databases with enrollment numbers and
student data.
2. Collect and disburse funds
a. Maintain budget information
b. Process student payments and refunds
c. Transfer money to pay for housing, bus transportation, excursions, and more
d. Administer program director and faculty per diem and petty cash
3. Working with agents/airlines to plan travel itineraries.
4. Assisting faculty in recruitment, especially for campus-wide events such as study abroad
fairs and culture days, and providing press releases for campus media press releases.
5. Act as liaison between program directors and travel agents/airlines to plan travel
itineraries if needed
6. Collecting and disbursing funds and maintaining current budgetary information on the
programs.
7. Arrange course equivalencies at VSU and work with campus representatives to create
equivalencies at their institution.
8. Providing liaison with financial aid officers and advising students on procedures for
securing financial aid.
9. Monitor progress towards enrollment goals and email bimonthly updates to all campus
reps, EC faculty, and program directors
10. Keep campus representatives, program directors, and faculty members informed of
program developments
11. Coordinate statewide and regional recruitment efforts
12. Plan and conduct orientation for students and faculty with program directors and other
EC members
13. Planning and conducting orientation for students and faculty, with program directors and
other EC members.
14. Purchasing and distributing tickets and travel passes.
15. Update website, brochures, flyers and other marketing material with new trip information
such as cost, dates, course options, etc.
16. Purchase and distribute tickets and travel passes if needed.

Role of Campus Representatives
European Council Campus Representatives are responsible for actively recruiting students and
faculty members from their home institutions to participate in European Council Programs.
Camps Representatives have brochures, applications, and other information available for all
European Council programs. European Council Members are responsible for representing their
home institution at Council meetings and promoting the Council’s projects at his/her home
institution.
The European Council representatives should provide overall campus coordination of the
programs, including:
1.
Arranging course equivalencies, credit, and registration procedures.
2.
Providing liaison with financial aid officers and advising students on procedures for
securing financial aid.
3.
Assisting faculty in recruitment, especially for campus-wide events such as study abroad
fairs and culture days, and providing press releases for campus media press releases.
4.
Providing liaison between individual faculty members and the EC office at VSU.
5.
Collecting program applications and deposits on campus, verifying their completeness
and accuracy, and sending them to VSU; note that VSU cannot accept applications
until they have been checked for accuracy and completeness, and signed by the
campus European Council representatives.
6.
Monitoring progress towards enrollment goals and reporting these to the European
Council
7.
Maintaining regular contact with campus faculty and assisting and encouraging them
wherever possible.
8.
Serving as the primary contact person for the program with the central administration on
campus.
Role of Faculty Members
1. Design and teach courses combining classroom and field experiences.
2. Assure that field experiences are integral components of courses. Faculty must accompany
students and arrange all aspects of class field trips including travel, itineraries, admission
tickets, etc.
3. Assist director(s) as needed in managing group travel activities, including international air
travel, in-country group excursions, emergency situations, and program/course evaluations.
4. Report student absences, illnesses, injuries or behavioral problems to the site directors.
5. Evaluate student performance according to standards contained in syllabi and submit grades
in accordance with the program timetable.
6. Be available as much as possible in informal discussions or conversations to support and
encourage students’ engagement with, and understanding of, the cultures and society they’re
experiencing.
Role of Program Directors
1. Coordinate group travel activities including international air travel, on-ground excursions,
housing and meal arrangements, and bus transfers.
2. Conduct on-site orientation for both students and faculty
3. Work with faculty to ensure academic integrity of program and make necessary
arrangements for on-site classroom equipment (computer, projectors, etc).
4. Address discipline problems involving student participants
5. Assist faculty members or students who need health care services. Inform EC office of all
significant incidents or major problems that may arise.
6. Create program’s budget
7. Responsible for the academic content of the program.
