NEXT STEPS
FOR NEW EMPLOYEES
 1. How to get you Employee ID
New EID#
 2. Update the CalNet Directory.
HOW TO’s
(Note: You must first have an employee ID number to follow all the steps below.)
1. It takes 2-3 business days to generate your Employee ID. You will
receive an e-mail from newhire@berkeley.edu with your EID number
or activation status. You can also contact us at (510)664-9000 x 3 to
retrieve it.
2. Visit Calnet Directory’s website:
https://calnet.berkeley.edu/directory/update/
3. Click on “Authenticate”, then login using your CalNet ID and
passphrase.
4. Edit your campus address information.
Do not use hyphens (-) anywhere in your profile.
 3. Establish your “At Your
Service” employee account.
At Your Service is a comprehensive
employee portal that offers many
services, e.g.: viewing earnings statement,
changing tax withholdings and updating
personal information.
1. Go to https://atyourserviceonline.ucop.edu/ayso/
2. Click on “New to UC and have a temporary password?” and create
your account.
3. Your username is your Social Security Number (with no dashes or
slashes) and your temporary password is your birth date in the
following format: MMDDYYYY with no dashes or slashes. (i.e. July 20,
2010 would be 07202010)

Desk at 1.800.888.8267.
 4. Change your W-4 tax
withholding elections.
If you do not change your withholding
elections, the system defaults to “Single”
and “0”—which is the highest tax rate.

 5. Sign up for Direct Deposit.
Your money will be electronically
deposited into the bank account of your
preference on payday. It can take up to
31 days for direct deposit to go into
effect.

Direct Deposit may take one full month to become active and your
first payment will be mailed to your local address provided during your
onboarding session. Checks will be placed in the mail for delivery by
the US Postal Service one working day prior to each
payday. Employees who elect direct deposit will be notified via e-mail
by their Payroll Representative once their direct deposit account has
been activated. You can check your Direct Deposit Statements and
download your W-2 Statements from UCnet at
http://ucnet.universityofcalifornia.edu/.

Direct Deposit for your current appointment is NOT the same as
your Electronic Funds Transfer (EFT) account through Campus
Accounts Receivable System (CARS). If you are not able to sign up
for direct deposit during onboarding you can do so by going to
https://blu.is.berkeley.edu/psp/blupd90/EMPLOYEE/EMPL/h/?tab=PAP
P_GUEST.

All GSR employees are considered Exempt and are paid on the 1st of
each month. When the 1st falls on a weekend or holiday, the payday
becomes the last business day before the 1st.

All Student Assistant positions are considered Non-Exempt and are
paid bi-monthly. Payment will only be received if a timecard is
approved by your supervisor and submitted to Payroll:

How to sign up for an Aline Card by ADP:
1. Visit http://controller.berkeley.edu/aline%C2%AE-card-adp
2. Complete the Aline Enrollment Form

 Please monitor your salary to not exceed the amount approved by
work study. If you are close to exhausting the amount of hours
allowed, we will notify your supervisor to get approval of funding
your full salary.

3. Go to the “Update Personal Information” section, and
click on “Emergency Contacts.”

INFORMATION
1. Talk to your supervisor about your unit’s timekeeping system, how to
record your time and deadlines for submitting your timesheet in
CalTime.
2. Your Timekeeper will reach out to you via e-mail to provide you
instructions on how to access CalTime and record your time.
3. As your direct deposit is being set up, your first paycheck may be a
paper check that will be mailed to your address on file.

Other Savings Programs
1. Safe Harbor participants — these participants are part-time, seasonal
and temporary UC employees who are not eligible to participate in
UCRP and whose wages are not subject to Social Security taxes. Also
included in this category are non-exempt UC student employees who
do not satisfy certain courseload requirements and resident aliens with
F-1 and J-1 visa status.

2. You will make mandatory contributions on a pre-tax basis of 7.5% of
your wages. Your contributions are automatically invested in the UC
Savings Fund, and monitored by the UC Office the Treasurer.
Additionally, you will pay into Medicare, State, and Federal taxes as
appropriate.

Differences between Students Appointments and Graduate Student Researcher Appointments
Student Appointments
1. Positions held under these titles are considered Non-Exempt. Being a Non-Exempt employee means you must enter all of
your time worked and you are eligible for overtime pay.
2. You are only permitted to work up to 19.5 hours (49% time) per week during the school semester. During Summer and
Winter break you may work up to 40 hours (100% time) per week.
3. Student Assistants are paid bi-monthly. You must submit an approved timecard to receive payment for work.
4. Student positions are considered BELI 5 classifications and health Insurance benefits are not awarded.

Graduate Student Researcher Appointments
Positions held under these titles are considered Exempt. Being an Exempt employee means you do not need to enter your
time worked, only your time off, and you are not eligible for overtime pay.
GSR work hours are determined based on your percentage workload. At the beginning of your appointment your pay will
be determined by the percentage of time of the appointment, but as an exempt employee you may work more based on
the needs of the project although your pay will remain the same.
GSRs are paid on the first of the month. If the first of the month falls on a holiday or a weekend you will be paid the
weekday prior. No timecards are necessary to complete unless you take time off from your regularly scheduled work.
GSR positions are considered Benefits Eligibility Level Indicator (BELI) 5 classifications and health benefits are not awarded.
Some GSRs are eligible to receive Fee Remissions which are dependent on the appointment percentage. Please see table
below with summary of the different types of Fee Remissions GSRs may be eligible to receive.
