MOTOR POOL OPERATIONS 1) Per Policy No: FI0725 and Campus Fiscal Procedure 725 to be authorized to operate a University vehicle, an individual must have signed an “Acknowledgement of Policies and Procedures Governing the Operation of University Vehicles” to be kept by the department. 2) To ensure that adequate documentation that an employee is authorized to drive a University vehicle or to use his or her personal vehicle to conduct University business, departments should complete on an annual basis a travel authorization for each employee who is required to drive as part of their job. 3) Authorized drivers include full and part-time employees, Board of Trustee members, registered volunteers, and students in a pay status with the university. All should have completed an “Acknowledgement of Policies and Procedures” form. 4) Authorized passengers in university vehicles are limited to university employees, students guests participating in university activities, and family members who are accompanying the employee on official travel. When family members accompany an employee on official travel, the driver must ensure that the vehicle is used only for transportation in connection with the trip and that no additional expense is incurred for personal use. ACCIDENT PROCEDURES 1) Contact appropriate law enforcement authority for an accident report. 2) Do not admit fault. 3) Complete a Driver’s Report of Accident and the Supervisor must complete the Supervisor’s Report and turn in to Facilities Administration, 219 Physical Plant Building as soon as possible. 4) Serious bodily injury should be reported to the Office of Risk Management by telephone immediately at (865)974-5409. 5) If the vehicle is not driveable contact Facilities Administration at (901)448-5661. 6) In the event of injury to an employee, contact the HR Benefits Office at (901)448-5577 to make sure that the appropriate Employee Injury and Worker’s Compensation Reports are completed. DAMAGE TO PROPERTY OR INJURY TO THIRD PARTIES 1) The University does not carry commercial liability insurance on University owned vehicles because we are subject to The Tennessee Claims Commission Act, T.C.A. 9-8-300 et.seq. through the State Insurance Pool. 2) All claims against the University of Tennessee Health Science Center for bodily injury to persons other than University employees must be directed to the University of Tennessee, Office of Risk Management, 112 Conference Center Building, Knoxville, TN 37996, telephone (865)974-5409, fax (865)974-0936. 3) Tennessee Department of Safety Financial Responsibility Forms will be completed by the Office of Risk Management. 4) All follow-up or communication regarding property damage or bodily injury claims by third parties is to be directed to the Office of Risk Management. 5) Obtain the names, addresses and telephone numbers of all witnesses to any accident involving property damage or bodily injury if possible. 6) The representation of all claims by thirds parties to the State of Tennessee will be made by the Office of Risk Management.
