With this in mind, the team has determined a number of different strategies to keep the team informed. These include: Semi-weekly team meetings – these team meetings are on Sunday from 8:00 – 10:30 PM, Wednesdays from 8:00 – 9:00 AM, and Fridays from 9:00 – 11:00 AM. Team members have the opportunity to post additions to the meeting’s agenda via the team website. This meeting is used to respond to issues that need the majority to the team in one place to resolve. The team meeting provides this opportunity. Broad overall team status, issues, and risk are also discussed in this meeting. Email – this is a fast and efficient way of communicating information to team members. Emails are used to notify team members are issue or statuses that do not involve their direct need to respond. Email also provide the asynchronous communication that the team sometimes requires due to the different schedules of each team member and geographic distance between these members. Website – the website provides the cornerstone of the team’s communication. It not only is used for internal purposes, but it provides team information for interested members outside the team as well. Currently the website is used to post meeting minutes, news, and assignments that the team is currently working on. There is a risk management system that allows team members to enter risks by category, so risks that pertain to individual group owners are quickly and easily available in real time. The website also provides a document management system. This allows team members to post documents to the website for other team members and for the public. Versioning is supported for the storage of updated documents. Telephone – although it is generally a long distance phone call to different team members, the telephone is another vital communication tool. This tool is used when there is an urgent issue that a team member needs to resolve. MS Project w/ Project Server – the last form of communication is Microsoft Project. We plan to setup a Project server and have the core team members have the MS Project application. Other supporting staff and team members will be able to update their project status daily using a web interface. This tool is necessary so that management will know the status of tasks in almost real time. When the project plan starts to slip, management will already in aware of the situation to resolve the problem as quickly as possible. Management will regularly monitor the project via MS Project. MS Project will be used to provide statuses and task issues to reduce the overhead of status meetings. Environment The main project development will take place at Old Dominion University in Norfolk, VA. All employees, except for the data center support will operate out of the ODU facility. Overhead per employee has been calculated at 40% to compensate ODU for utilities, office space, etc. Documents The management plan contains the other project planning documents to provide the detailed management plan. These documents include: Staffing Plan – This document defines the organization of the project team by phase. It also details the skills and responsibilities for each team member by phase.
