BRADLEY UNIVERSITY FRATERNITY AND SORORITY LIFE 2016 GRAND CHAPTER ACCREDITATION APPLICATION EVALUATION PERIOD: January 1, 2016 – December 9, 2016 For member chapters of the Bradley Interfraternity Council and Panhellenic Council 1 Accreditation Program Purpose and Overview The purpose of the Bradley University Fraternity and Sorority Life Grand Chapter Accreditation Program is to outline the basic expectations of fraternities and sororities recognized by Bradley University. In addition, this program will assist chapters in monitoring and improving their own activity and performance. Revisions to this program are made annually by chapter representatives from all Interfraternity Council and Panhellenic Council organizations, along with the Office of Fraternity and Sorority Life. The accreditation criteria serve as the foundation for all healthy fraternities and sororities and, if implemented well, can enhance the undergraduate fraternal experience. The requirements are based upon the five core values of the Bradley University fraternity and sorority community; academic excellence, leadership, kinship, service to others, respect for diversity, and personal development. Criteria not fulfilling one of these values statements will be classified as Chapter Operations. Community Values Statements Academic excellence The pursuit of academic excellence is essential to the success of the individual, the chapter, and the fraternity and sorority community. We recognize the role of any Bradley University fraternity or sorority member is foremost that of a student. We will strive to obtain a grade point average above the campus average and will offer programs that assist and develop the academic growth of each of our members. Leadership The fraternity and sorority experience affords members opportunities to develop, strengthen, and hone their leadership skills in a variety of settings. Our objective is to create organizations, programs, and opportunities that facilitate the development of leaders within our organizations. Kinship We recognize the relationship between members and organizations within our fraternity and sorority community. Built on similar origin and characteristics, our community develops meaningful, healthy, and life-long relationships based on these common bonds. We understand the connectedness between all members and organizations within our community, and strive to create a familial environment in which all members feel supported and welcomed. Service to others We recognize that service has the ability to not only change the lives of those we serve, but to change the lives of the members within our community. As socially conscious leaders of our campus, we understand that it is our duty to serve our local, national, and international communities. 2 Respect for diversity As a diverse community comprised of members from an assortment of different backgrounds, we refuse to discriminate on the basis of age, color, disability, familial status, height, marital status, national origin, political affiliation, race, religion, sexual orientation, veteran status, or weight. We strive to create a community that recognizes and embraces the diversity of our members, as well as one that celebrates the value of multiculturalism through everyday organizational practices. Campus Engagement As an inherent part of the Bradley University campus community, we will work to embody the spirit of the institution, and continually give our time, talent, and treasure to events, projects, and opportunities for service or engagement, that benefit the greater campus that our fraternal community belongs to. Personal development As a result of joining a fraternity or sorority at Bradley University, individuals will be afforded opportunities for intellectual, physical, professional, spiritual and emotional growth. Chapter is eligible for the Award of Overall Excellence (Panhellenic Council) and the Ed King Award (Interfraternity Council) Chapters will have a featured profile on the Office of Fraternity and Sorority Life Website. Chapters recognized on associated social networking sites, as well as appropriate council website and social media outlets. Chapters will be featured in an advertisement in The Scout paid for by their respective council. Chapters will receive a written endorsement by the Office of Fraternity and Sorority Life to utilize in recruiting chapter advisors and academic advisors and for the purposes of requesting SABRC funds. Four Star Chapter Incentives: Recognized at Grand Chapter Awards as a Chapter of Excellence. A trophy will be awarded. Chapter is eligible for the Award of Overall Excellence (Panhellenic Council) and the Ed King Award (Interfraternity Council) Chapters recognized on fraternity and sorority life website and associated social networking sites, as well as appropriate council website and social media outlets. Chapters recognized on associated social networking sites, as well as appropriate council website and social media outlets. Chapters will receive a written endorsement by the Office of Fraternity and Sorority Life to utilize in recruiting chapter advisors and academic advisors and for the purposes of requesting SABRC funds. 4 Three Star Chapter Incentives: Recognized at Grand Chapter Awards as a Chapter of Excellence. A plaque will be awarded. Chapters recognized on fraternity and sorority life website and associated social networking sites, as well as appropriate council website and social media outlets. Non-Accredited Status: Not eligible to receive benefits of accredited chapters. Chapters will be placed on Chapter of Concern status for the next year. o A letter will be issued to notify the start of the chapter’s concerned status period along with a time line for action. o The timeline will indicate due dates and checkpoints for submission of all minimum criteria for the two semesters the chapter is on concerned status. Chapters not submitting accreditation documents by the established deadline in the fall semester will automatically be considered non-accredited. 5 The Submission Process The Grand Chapter Accreditation program is conducted using the Bradley University Sakai Software Suite. Chapters will be asked to submit documentation online throughout the year. This will allow the chapters to build an online “submission binder”, which judges will be given access to for scoring. A designated chapter representative will be granted access to the private project page entitled “Grand Chapter Program 2016”. Unless requested otherwise, the current chapter president will serve in this role. There can only be ONE person assigned to this role per chapter. Chapters may change this once at the beginning/end of a semester but must notify the Assistant Director of Fraternity and Sorority Life. There are currently a total of 85 different submission criteria; 48 of these criteria will require an online submission of documentation, 37 criteria require no submission. Some criteria may require multiple pieces of documentation, which will be identified on Sakai. When submitting documentation, the chapter must upload the document, as well as describe to the judges what is being uploaded, and where to look for supporting documentation. Narrative (sentences and/or paragraphs of text) answers will not be accepted as documentation; the chapter must provide documented proof that fulfills the criterion requirement(s). Documentation must show evidence to support the requirements of each criterion. Examples of documentation include; meeting minutes, agendas, flyers, e-mails, photos, newsletters, chapter rosters, constitution and bylaws, chapter and national policies, chapter budget, etc. Please Note: All criteria submissions must be in a PDF or JPEG file format. Excel sheets will not be accepted as evidence for criteria. All files uploaded should be titled in the following format: o Chapter Name_Criteria Letter-Number_Year o Example: Chi Omega_A01_2016 The chapter may resubmit any documentation up to the final Grand Chapter due date. A workshop will be conducted during the spring semester to provide an overview of this process and answer any questions. Throughout the process, any questions should be directed to the Assistant Director of Fraternity and Sorority Life. 6 SAMPLE CRITERIA SUBMISSION 7 The Judging Process Judging of Grand Chapter Applications will take place immediately following the December 9, 2016 deadline. All judging will be completed by the beginning of the Spring 2017 semester. Grand Chapter Accreditation and Awards will be announced at the 2017 Grand Chapter Recognition Ceremony in January 2017. Judges will be asked to evaluate a set of criteria, rather than a chapter. Accordingly, one judge will be responsible for evaluating all submissions for a criterion. This is done to ensure fairness for all chapters, as the same judge will be evaluation all chapters. Any criterion that does not require a submission of documentation will be judged independently through the Office of Fraternity and Sorority Life. When grading each criterion, the judges will have three options when awarding points; full, half, and zero points. Full credit is given when documentation fulfills all of the requirements of the criterion. Half credit is given if partial documentation is submitted or if the chapter only completes a portion of the criterion requirements. No credit is given to chapters who do not meet the criterion, or cannot provide supporting documentation to show the criterion was met. The goal of the Grand Chapter process is to find judges who are fair, unbiased, and good representatives of our constituency as fraternities and sororities. Accordingly, judges for the Grand Chapter Accreditation Program may include; Bradley faculty and staff, non-affiliated student leaders, graduate students, alumni, and outside professionals in the field of student affairs. Once compiled, all scores will be posted to Sakai and will include any feedback provided by the judges for each criterion. The following grading scale will be used to determine your overall score and corresponding accreditation status: A - 5 Star Accreditation B - 4 Star Accreditation C - 3 Star Accreditation D & F - Not Accredited Following the Grand Chapter Recognition Ceremony, chapters will be given the opportunity to schedule an application review with an appropriate member of the IFC or Panhellenic Council. This review session will allow the chapter to seek clarity on the results of their application, and help to make improvements for next year’s submission. 8 Accreditation Criteria at a Glance (Items in red do not require documentation submission.) Chapter scholarship program specifically addresses members who fail to meet either the minimum chapter GPA requirement to be in good standing, or another pre-established GPA that is higher than this minimum. Example: Please provide a week-by-week outline of general goals, outcomes or activities that a big brother/sister would utilize to help a new member learn about the organization.
