Sample Letter of Invitation to Visiting Professors/Visiting Librarians (3+ months)

Dear:
I am pleased to offer you an invitation as a (Visiting Professor/Visiting Librarian) at Ryerson
University for (duration of visit, e.g., one term, August 1 to December 31) during the (200?200?) academic year. As (Dean of the [Faculty of] /Chief Librarian), I have approved the
following terms and conditions regarding your visit:
1. As described in your letter of application to become a visiting professor at Ryerson, your
research plans for the visit are (brief description).
2. The (host unit) will assist you with your scholarly activities by (specify any commitments:
e.g., shared office space, library access, e-mail). You will carry out your research and
scholarly activities during your visit under the oversight of Professor X.
3. There is no remuneration associated with your status as a (Visiting Professor/Visiting
Librarian).
4. Should you not be legally eligible to work in Canada, please note the following:
a) In order to comply with Canada’s immigration regulations, please contact your
nearest Canadian visa processing office, High Commission or embassy with regard
to obtaining the necessary work permit for your visit to Ryerson University, and if
applicable, a temporary resident visa (TRV) and/or medical examination.
b) You should be exempt from confirmation of employment by Service Canada under
Confirmation Exemption Code C22 of the Citizenship and Immigration Canada
manual. To qualify for this exemption you must:
i) Remain at this University no longer than two academic years
ii) Retain a permanent position at an academic institution outside of Canada
iii) Return to your permanent position following your stay
c) To enter Canada and obtain a work permit, Canadian immigration authorities will
require the following:




A letter of invitation from Ryerson University
A letter from your home institution confirming that you retain and will return to
your position abroad, when your appointment at Ryerson University expires
A completed work permit application package, which can be found at the
following link: http://www.cic.gc.ca/english/information/applications/work.asp
Your valid passport/travel document
d) It is highly recommended that you contact Canadian immigration authorities directly
to discuss your planned visit to Canada. For a list of Canadian Consulates,
Embassies and High Commissions, please refer to:

e) Immigration Processing Fees
The fee for your work permit is $150 (CAD). Citizens of visa counties
http://www.cic.gc.ca/english/visit/visas.asp must also obtain a temporary resident
visa (TRV) in order to enter Canada. The TRV processing fee charges varies on the
type of application.
5. By accepting this offer you agree to be bound by Ryerson University policies,
regulations, procedures and practices (including research policies), which may be
accessed on-line from “Key Ryerson University Policies for Visiting and Status-Only
Academics” webpage located here: http://www.ryerson.ca/teaching/policies/key-policyvisiting.html
6. You are required to apply for health coverage through the University Health Insurance
Plan (UHIP) until you are eligible for coverage through the Ontario Health Insurance
Plan (OHIP). Information on UHIP, as well as the application form can be found at
http://www.uhip.ca/intro.aspx. Please complete the application as soon as possible and
return it to the Benefits Unit, Ryerson University, 350 Victoria Street, Toronto, ON M5B
2K3. Please note that coverage is mandatory and is effective your start date or, if you
arrive prior to your start date, your arrival date in Canada, whichever is first, but no
earlier than the 10th day of the month before your start.
7. You are required to apply for Provincial health coverage under Ontario’s Health
Insurance Plan (OHIP). Information on the process and required forms can be found at
