The true value of Reprographics is not always found on the ledger. Saving Los Angeles
Harbor College money by choosing more effective alternatives does not appear in our
bottom line.
The logic is simple, Reprographics has proven to save time and money, handle increased
volume, and meets the needs of the college’s departments and instructors. Finding ways
to serve the college in the best possible way, keeps Reprographics viable and productive.
Reprographics has a vested interest in the success of student learning outcomes and takes
the time to understand support services objectives and seeks to find the best solution to

BOOKSTORE
WORK PERFORMED
The Bookstore provides textbooks, supplies, study materials, food, and drinks for sale to
the students, faculty, and staff. The Bookstore also processes books for several
departments that have specific procedures relating to the purchase of the books by the
students. It also provides coffee and food for departments on campus when they have
meetings or special events.
REPROGRAPHICS
WORK PERFORMED
The Reprographics office handles the photocopying from faculty, staff, and department,
which includes all types of requests including tests. The office also processes, sorts, and
distributes on and off-campus mail, and packages. There are two copier machines
available in the office for the faculty and staff to use for items they need sooner than the
two to three day turnaround necessary for most requests.

COLLEGE ENTERPRISE MANAGER
Plans, organizes, coordinates, and directs multiple enterprise and staff support
departments on a college campus. Plans, organizes, coordinates, and oversees multiple
enterprise units and staff support departments on a college campus which may include,
but are not limited to, the college bookstore, convenience store and related food
operations, reprographics, facilities rental, parking services, community services, and
office services. Evaluates and implements improvements, expansion, and termination of
products and services of assigned units and monitors industry wide changes in products,
services, and pricing. Ensures that each assigned enterprise unit operates efficiently and
under sound business principles while maintaining financial viability. Develops and
implements work methods, procedures, and practices related to the management of the
assigned units. Develops and directs the implementation of a comprehensive marketing
plan for each assigned unit. Directs procurement and material control of assigned units.
Participates in the preparation of plans, layouts, and specifications for new equipment and
facilities and manages related projects, as assigned. Oversees the investigation and
resolution of problems and complaints pertinent to the assigned units. Authorizes
expenditures, reviews monthly financial statements, and assists unit managers in
maintaining effective fiscal controls over respective units. Assists assigned units in
budget preparation. Implements and monitors effectiveness of computerized management
information systems necessary to support the operations of assigned units. Assigns,
reviews the work of, and provides training to assigned staff. Prepares requests for
contracts and defines scope of work. Organizes and directs periodic inventories of
assigned units. Oversees the preparation of reports and correspondence related to the
management of the assigned units. Performs related duties as assigned.

ASSISTANT BOOKSTORE MANAGER
Plans, coordinates, supervises and participates in the day to day activities of assigned
bookstore operations including ordering, storekeeping, merchandising, selling, and
cashiering functions. Plans, coordinates, supervises, and participates in the day to day
activities of assigned bookstore operations including ordering, storekeeping,
merchandising, selling, and cashiering functions. Selects, trains, and supervises the work
of assigned staff. Assists in recommending revisions or improvements in bookstore
policies, procedures, and work methods. Assists the store manager in evaluating new
equipment, systems, and products. Contacts publishers and vendors to obtain availability
and ordering information, expedite orders, and resolve unusual problems related to
shipments and invoices. Interviews sales representatives regarding new or improved
products. Diagnoses malfunctions of cash registers and point of sale systems, computer
equipment, and makes minor repairs and adjustments; contacts service technicians as
needed. Investigates customer complaints and takes appropriate action. Resolves
problems related to daily sales receipts with the college business office.
Prepares records, reports, and correspondence on matters related to assigned bookstore
operations. Secures assigned facilities at the close of business. Assists in the development
and implementation of internal controls to safeguard the assets of the bookstore
including cash and inventories. Acts for the Bookstore Manager in his/her absence.
May supervise a limited number of ancillary bookstore operations such as a cyber café
and retail copy center at larger bookstore operations. Performs related duties as assigned.

and equipment; and may be responsible for a small supply operation. Performs manual
and clerical duties involved in storekeeping operation. Takes periodical inventories and
keeps inventory records of supplies and equipment. Receives and inspects delivered items
for breakage, damage, or deterioration and for completeness and accuracy against
purchase orders. Orders supplies to replenish stock. Contacts staff, shippers, and/or
vendors regarding errors and discrepancies in the delivery, timeliness of delivery,
damaged goods, and other problems concerning the receipt and condition of goods.
Utilizes computerized systems in order to record, update, maintain, and check the status
of purchase orders and inventory. Maintains records of overages, shortages, back orders,
and damaged and inspected items. Stores stock items in a proper and efficient manner.
Fills orders against requisitions or invoices. Checks and packs orders for shipment.
Packages orders for return shipment to publishers and other vendors. Maintains storage
facilities and equipment in a clean and orderly condition. Maintains equipment, goods,
and supplies in compliance with safety and insurance regulations. Operates materialhandling equipment in transporting supplies. Delivers goods and supplies to various

offices and departments. May affix inventory tags on newly acquired equipment and
maintain records on such equipment. May sign delivery slips and other
acknowledgements of goods received. May assist in arranging for disposal of surplus
equipment. May use bar code scanners to take inventory cycle counts. May participate in
all bookstore activities during peak work load periods and in the absence of assigned
staff. May mark or ticket textbooks, merchandise, supplies, and related items with

JOB DUTIES
LEAD SUPPORT SERVICES ASSISTANT
Acts as a lead and participates in the work of a small clerical unit engaged in providing
reprographic and other related general support services such as courier, mail, and
telephone. Schedules, oversees, and participates in the work of a small clerical unit
engaged in providing reprographic and related general support services such as courier,
mail, and telephone. Assigns, schedules, and reviews the work of the assigned staff.
Determines more efficient work procedures and techniques for assigned unit to ensure
timely and efficient completion of work. Sets up and operates high speed programmable
photocopy machines in the reproduction of a wide variety of materials, such as forms,
bulletins, charts, graphs, examinations, class materials, and reports. Adjusts duplicating
equipment to the size of the paper, placement of impression, and thickness of paper.
Cleans, adjusts, and makes minor repairs on reprographic equipment. Receives, reviews,
and completes job orders and follows up for clarification when needed. Responds to
inquires from customers regarding the services provided by the unit. Contacts service
representatives regarding major repairs and service of reprographic equipment. Checks
materials reproduced for optimal copy clarity and intensity of imprint. Operates various
bindery and finishing equipment such as paper cutters, paper folders, collators, paper
joggers, paper drills, laminators, staplers, stitchers, and scanners. Assists users in the
proper operation and use of standard photocopy machines. Maintains files, procedures
manuals, references, reprographic inventory, and other records. Prepares or approves
requisitions for office supplies. Orders parts needed to make minor repairs on
reprographic equipment. Consults with customers on such matters as type of paper and
color of inks to be used. Provides training to assigned staff in the work of the unit.
May compute and check invoices. May participate in preparing the annual budget for the
unit and monitoring the expenditures. Performs related duties as assigned.

DATA ASSESSMENT
PURCHASE ORDERS
1. Textbook purchase orders are generated from textbook requisitions provided by
the faculty. Purchase orders come from the textbook computer system, which is
inputted with information obtained by the faculty.
2. Supply purchase orders are generated when the vendor comes into the store or is
called in by phone.
GOODS RECEIVED
The goods are received either by the Bookstore or the Receiving Department. Once
received the items are compared to thee purchase order and then entered into the
computer system.
INVOICES
When invoices are received they are matched with the purchase orders and processed.
They are then sent to the Accounts Payable office and then on to the District for payment.
BOOK REQUISITIONS
Textbook requisitions are created through our computer system by using the information
from the past semester. Once the faculty completes and returns the requisition, the
Bookstore staff processes the information and enters it into the computer.
SPECIAL ORDERS FOR DEPARTMENTS
The Bookstore does special orders for departments such as textbooks and supplies. The
department contacts the Bookstore with an order and once quotes are obtained, the items
are ordered. Once the items are received they are delivered to the offices and the
department is invoiced.
EMPLOYEE HIRING FOR RUSH HELP
The Bookstore uses SAP to hire extra employees during peak rush periods. The
Bookstore inputs the information into the computer, which is then processed by
Personnel and the District Office.
MONEY COUNT
The Bookstore counts the money taken in by the registers every day. The cashier
balances the money with the register tape total. Once it is balanced, the money is bagged
and taken to the Business Office for depositing into the proper accounts.
FOOD/DRINKS
The Bookstore provides food and drinks for campus departments’ meetings and events.
The department orders the items and are invoiced by the Bookstore upon delivery.

DATA ASSESSMENT
PHOTOCOPY SERVICE
The faculty and staff complete a request form and attach it, with the item to be copied, to
the paper they want used and place it in on a tray in the office. The turnaround is
approximately two to three days for most requests and is longer when the number of
copies is large or need special processing. If they do not attach paper with their request,
the paper used is taken out of their supply budget.
MAILROOM SERVICE
On-campus mail is delivered daily to the campus mailboxes. Courier mail is picked up
after 11:30 a.m. and delivered to the district office and other eight campuses. Off-campus
mail is metered throughout the day and is picked up at 9:00 a.m. and 2:30 p.m. on a daily
basis. When Federal Express mail need to be sent out, the prepared package is brought to
the Reprographics office and a form is completed by the department. The Reprographics
office then contacts Federal Express to pick up the package.
PACKAGES
Packages are received by the Reprographics office and a slip notifying the recipient that
they have a package is placed in their mailbox. Some packages must be signed for during
the Reprographics office’s regularly scheduled hours.
DISTRIBUTIONS
Items are submitted for distribution to campus mailboxes by several departments. A form
is completed with a deadline date and the papers are placed in the mailboxes of those on
the list to receive the distribution.
BULK MAILING
Some departments have a large amount of mail to send out and when it totals over 200
pieces bulk mailing can be used. Bulk mail is shipped at a cheaper rate and requires
additional processing by the Reprographics office.

SUPPORT TO COLLEGE PROGRAMS AND SERVICES
STUDENTS
The Bookstore supports students by supplying textbooks, supplies, food, drinks, and
study materials for purchase. The Bookstore plans to implement a textbook rental
program in the future. This program will allow students to save money and allow the
Bookstore to increase traffic – which will increase sales of other items.
EOP&S
The Bookstore processes purchases by EOP&S students who are given a book grant to
purchase textbooks and supplies.
HARBOR TEACHER PREP ACADEMY & TEACHER PATHWAY
The Bookstore, in coordination with the HTPA and Teacher Pathway faculty/staff, order
and distribute students’ books for these programs.
FINANCIAL AID
The Bookstore works with Financial Aid students to ensure that they have no problems
using their aid debit cards while purchasing items at the Bookstore.
CAMPUS DEPARTMENTS
The Bookstore assists the campus departments by providing refreshments for their
meetings and events. A few of these departments are: President’s Office, Welcome
Center, Administrative Services, Student Services, and the Facilities Department.

The Reprographics office does not deal directly with the students, however, the office
supports student learning by ensuring that items requested by the faculty and staff are
copied on a timely basis.

The Reprographics office processes mail, packages, and distributions on a daily basis to
ensure that the offices receive timely correspondence.
FACULTY
The Reprographics offices provides copying services of all sizes for the faculty on a
timely basis so that assignments and tests may be given to the students without being
rescheduled.

Outcome
There have been two areas established since 2007 and
due to construction the location continues to be moved.
The Bookstore received new paint and flooring. New
counters were installed.
The Facilities Department and outside contractors built
cabinets, installed sinks and electricity for the area.
The Bookstore staff with the cooperation of faculty,
were able to research and find more used books
increasing the book sales by 100,000.
The Bookstore staff worked with the faculty to create
an understanding that the students need the requisitions
turned in on time so that more used books can be sold.
Coffee and hot water service are provided to oncampus groups for meetings and workshops when
requested.
The switchover has been successful with the College
Enterprise Manager assisting with mail distribution
when needed.
In order to assist with the District’s financial deficit the
Bookstore staff was reduced and has caused the
Bookstore to limit the hours and longer lines.
The Bookstore staff’s schedule was made more flexible
to cover the operations with less staff.
The system is still not perfect but when finished will
allow the Bookstore staff to find books for students at
the other district colleges.
The increased vending added to sales and customer
satisfaction.
The preliminary planning of the new Bookstore is
currently in progress.

Justification of Need
The Bookstore needs an area to store textbooks that will be
secure from theft and the elements.
The Bookstore needs a security system for both the main store
and the storage area where textbooks are stored.
Equipment is needed by faculty and staff to shred sensitive
documents pertaining to students and related college matters.
New system will replace outdated unit by providing more
professional looking documents by printing on both sides of a
page automatically. This will save on paper and mailing costs.
