QUICK REFERENCE – TRAVEL AUTHORIZATION (SIDE 1) Employee Self-Service > Travel and Expense Center > Travel Authorization > Create General Information: Description – Reason for the trip Business Purpose – Select the best choice from the drop down menu. Default Location – Select the primary location of trip. (For US locations enter the 2 character state, for foreign countries enter first few character of the country. Select city if listed. If not listed select “No Specific City”. Date From and Date To – Enter beginning and ending travel dates. Comment – Full reason for the trip Click on Accounting Defaults hyperlink Accounting Defaults: Default chartfield is you HR department. If this is not the correct chartfield to be charged for trip, change by selecting the correct SpeedChart. Split expenses by clicking the Add ChartField Line button to insert more lines. In the % column of the grid, identify what percentage of the expense should be charged to each accounting combination. Total % must equal 100%. To delete a chartfield line click on the “-“. Click OK to go back to TA QUICK REFERENCE – TRAVEL AUTHORIZATION (SIDE 2) Details Expenses: 2 way of entering the information (Quick or Detailed) 1) Quick TA: Expense Type – Select Miscellaneous Domestic Travel or Miscellaneous Foreign Travel Date – Enter the first day of the trip Amount – Enter full amount of Trip to be encumbered Payment Type – Select from drop down Billing Type – Select Billable for grants (Funds 375, 378, 394 and 395). Select Internal for all other funds. 2) Detail TA: Follow Training Manual section Module 3 Creating a Travel Authorization Click Check for Errors Make correction when necessary. Click Submit when ready to submit the TA for approvals. A confirmation page will display. Click OK button.
