Intern Duties These will be expected responsibilities of the supervisee. You must communicate with the Supervisor assigned to you. This includes, but is not limited to the following: Your supervisor will make the initial contact with you to give you instructions for your position. Set up your schedule. o If you are a new Intern, you must spend some time at the office (any of the offices will do) to familiarize yourself with the program before going out to the field on a regular basis o If you need CHC office desk time, your supervisor will collaborate with Susan to set up your schedule o For anything related to scheduling (e.g. if you will not be at scheduled desk hours or you need more desk time) it is your responsibility to inform your supervisor of the open/ used desk time. If this occurs at another office please contact the lead in that office rather than Susan o Your supervisor will follow up with the schedule for both in-office and field hours to make sure you arrive on time and will document it if you do not Communication with your supervisor is key! Keep in close contact with him/ her at all times. o Conflict Resolution In an effort to reduce harmful “gossip” please go to your supervisor to ask questions and voice your concerns rather than either chatting with your peers or holding it in As a good rule of thumb, if you are not a part of the problem or solution, you should not be discussing the matter or it could be seen as gossip. We do not support gossip in our organization and if you are caught gossiping, you may be subject to discipline. In order to avoid this, we encourage open communication with Supervisors According to the CSU, Chico Research Foundation, Employees who believe they have been adversely affected by an action of another employee, their supervisor, or the Foundation are encouraged to make their grievances known. Your supervisors are prepared to answer your questions and concerns When possible, you should go first to your immediate supervisor with questions or problems related to your job or feelings of well being within five working days of the incident or problem Your supervisor will then investigate the concerns and provide you with a response within five working days, unless additional time is needed. It should be understood that the supervisor may need to get other resource people involved, depending on the nature of the problem When it is uncomfortable to go to your supervisor, you may go to the Director (Cindy Wolff) or the Research Foundation Human Resources Director for assistance. It is the policy of the Foundation that employees may discuss problems or conflicts with Foundation Management without fear of reprisal o If you are working in a different location than your supervisor: Your supervisor is still the main contact for you (e.g. use phone or e-mail to communicate). Your are not to ask other supervisors for help or assistance unless your supervisor is completely unavailable or has instructed you to do so You should always be accompanied by experienced staff member when sent out in the field Your supervisor will communicate with the accompanying staff member to document your work performance o If you are working on multiple tasks for more than one NES/ HES: Your supervisor is still the main contact for you Your supervisor should help prioritize the tasks for you Your supervisor will communicate with the other NES/ HES to document your work performance Keep track of your hours on your activity logs for your supervisor to review and correct when needed. o Update your supervisor regularly with the amount of hours you have completed so they know when it is time to give you your evaluations o Your supervisor will be checking your activity log for: timeliness of activity, variety of work, etc. Performance Evaluations o Half way through your hours, it is advised that you receive a performance evaluation, but not required o At the end of your hours, it is required that you complete a performance evaluation with your supervisor.
