FACILITIES SERVICES Job Description Building Services Secretary Senior Job Code: 7244 – Contract Classified Department Introduction: Building Services delivers Custodial Services to the UW campus that provides exceptionally clean and sanitary environments for students, faculty, staff, and visitors and manages the comprehensive Recycling & Solid Waste Management program. Job Purpose: Building Services Department currently has over 300 staff providing custodial services, recycling and solid waste collection throughout the campus. This position reports to the Assistant to the Director and is critical to the smooth operation of the department by providing administrative support to Building Services leadership (Assistant Directors, Managers, and Supervisors) as well as individual staff as needed. Duties and Responsibilities: Coordinate Building Services Department FMLA letters with Facilities Services Human Resources and Payroll departments, who determine FMLA eligibility, and create appropriate FMLA correspondence to employees Serve as a point person for payroll issues as well as provide support with sorting and distributing paychecks/advice slips Perform review and reconciliation of Building Services Department ProCard accounts Assist with maintenance of Building Services Department personnel records Assist with storage and purging of records according to retention schedules Perform backup office reception, take phone requests for custodial service, relay message, sign for deliveries and distribute mail Work on projects as needed (data entry, update the division's personnel roster, FMax, etc.) Coordinate the Cost Transfer Invoices (CTI) process Assist with the internal work management system (Breeze) Follow all University and Facilities Services policies and procedures Attend all required meetings and trainings Perform other duties as assigned Regular and predictable attendance is required Core Competencies: Demonstrate personal integrity and trustworthiness Manage stressful situations and changing priorities effectively Anticipate, recognize and resolve problems Be responsible and accountable Use organizational skills and provide attention to details Maintain a positive, optimistic and success-oriented attitude Exercise professional demeanor, which includes being tactful and courteous Exhibit a professional work ethic Continuously promote a safe work environment Required Skills, Experience and Knowledge: High School graduation or equivalent AND two years of increasingly responsible office experience involving occupational-level keyboarding/typing including transcription OR equivalent education/experience Competency using MS Word, Excel, Outlook and PowerPoint Data Entry experience Must be service oriented and possess excellent customer service skills, responding to inquiries tactfully and in a timely manner Experience completing multiple assignments/priorities in an office environment involving frequent interruptions and distractions 12/07/10 Page 1 of 2 Competency in time management, organization, multi-tasking and attention to detail Professional communication style Experience handling multiple tasks concurrently, meeting specific deadlines Have knowledge and understand of safe work practices and policies Must be able to follow written and/or verbal instructions and communicate in English regarding the use of chemicals, supplies, and equipment; comply with safety policies and procedures Desirable Skills, Experience and Knowledge: Experience working with a diverse group of employees who speak English as a second language Experience using Access and Visio Experience using University of Washington programs such as OPUS, OWLS and PAS Upper Conditions of Employment: Valid Washington State driver's license Able to stand and/or sit for long periods of time Must be able to work in a nonsmoking environment Must be able to work in an open office environment with frequent conversations and distractions nearby A satisfactory outcome from a criminal background verification will be required prior to hire 12/07/10 Page 2 of 2
