VoIP – Update (Linda Buckley) Picking up old avaya phones, faxes will stay on analog, catching up on 911 building turn-overs to unit. Q. Plan to change paper process for requesting a new line with the TSCs? Plan for phone deli very to PRC? A. ITS is going through every building and making sure that the entire emergency lines work. It’s by a building-by-building basis. Working on changing the paper option. Q. Is there more information on rate increase? A. FAX phones are staying on analog, less number of users increase the price overall for everyone, and some buildings have to stay on analog. The rate projection is for the next fiscal year. Comment: I have not seen this in the budget instructions A. The report is being written and it should go out next week. And William will review it before release. More to come with TSC training video. Update on the mobile client (smart phone) Working on that and the transition for long distance. Might propose to use an app that is generic in android and apple instead of an UT branded one. II. ASMP Technical Architecture – Update (Julienne VanDerZiel, Pat Jones, Eric Weigel) Julienne VanDerZiel introduced Pat Jones to the committee. They both presented the ASMP Technical Architecture Update. Julienne VanDerZiel and Pat Jones presented the plan for the new Technical Architecture. Just finished the technical architecture design and specification. Goal is to provide an Administrative Systems Technical Architecture that is “componentbased, flexible, flexible, predictable, resilient, secure, and scable.” Also, to provide production and development environments that support cloud, package, and custom applications for administrative units and their interfaces. This will also follow ITIL and CMMI practices to build environments, processes, and tools that support these goals. There are five major documents that are interrelated and share a common numbering system that include methodology diagrams, future architecture diagrams, technical description of work, technical release schedule, and project workplans. We are currently in the Technical Architecture Implementation Project Initiation. Will release software in four components. Releases based on UT requirements and priorities. We are using the same ASMP methodology into TAI and into other programs that can be repeatable. Pat Jones is in charge of the Organizational Change Management Strategy that includes the stakeholder engagement, communications, change readiness, and training strategy that includes the resign of the software developertraining program. Training includes those who will support these services, consumers, and a total design of the software developer-training program. Will be talking to groups and governing bodies for the stakeholder engagement, Q. Have you all started on the organizational change management overview? A. Still in strategy plan to make sure that it’s in line with the ASMP timeline. Just made a draft. Still planning all of this and implementation will come out in the fall. We have not held any focus groups. Dana and Rich Janes have been going to each application owner one by one to see if there are common applications that can be consolidated into WorkDay to be more cost effective for the university overall. Need to establish a technical readiness coordinator along with the already appointed readiness coordinator. Chart of Release Methodology Diagram with seven steps on how an application will be released such as approval of release from candidate for operational readiness. Chart of Service Deployment Methodology with six steps on how a service is deployed such as preparing the service, defining the operational process, and defining institutionalization processes. Alpha user is are early service consumers that have a business need to begin early use of service although the service is not yet deployed nor fully supported. Training may or may not be available, in incomplete/unstable environments, “best effort” support mode, and effort matures over time and service nears deployment readiness. Reconfiguration or refactoring may be needed as processes and standards are defined. Required to collaborate, provide feedback and work closely with Service Owner. There is a list of next major upcoming deliverables. Release one implementation date is January 2016 that includes a lot of the infrastructure. Q. That TADs group made decisions with “best guess,” when you get to phase 4, in three years, is there a degree of revaluating the older decisions? A. Absolutely, yes. III. Pilot to Explore Leveraging the Full Capabilities of UT System Office 365 Licensing – Proposal (Trice Humpert, Bob Gloyd) Bob Gloyd asked, “When you hear Office 365, what do you think of?” Email. Well actually, there are 364 more components to it. Currently UT is not leveraging a number of tools that we are paying for. The UT Austin pilot would provide data relevant to evaluating the value and incremental labor cost to deploying this toolset across campus. There is a lot of interest across campus. Asking for endorsement on a task force to explore/exercise these tools over the coming year. Limited support needed from ITS other than enabling capabilities for select units. Bob Gloyd will lead and report findings back to AIC. Comments: Need to make out documents, a list of stakeholders, criteria, and accessibility. Need to think about long term support. Sandra would like to participate on the training and support. Need a plan on how it could be done before endorsement. Will come back with a charter. Q. Could we enable a dozen accounts to help access these tools? A. Yes. IV. Unanimously endoresed TSC Training Update – Update (Sandra Germenis, Cam Beasley) Sandra Germenis and Cam Beasley gave an update on the TSC Training. 488 responses to the TSC survey tool. Of the 488, 40% have SANS training or certification, about 160 people. Need to find a way to publish results by maintaining privacy of people. Good response to the survey, 540 got the email. Q. On page 3, 105 people said other, what does that mean? A. Still have to go through the “other” text box and evaluate those. Q. How is this going to impact the date of the ITS TSC training? A. Have a year before Audit will come to access. Still have to complete the UT system training.
