WSS Club of Westfield State University Article I Name: Section 1: This name of this organization shall be known as the WSS Club of Westfield State University, hereby referred to as Westfield Student to Student. Article II Purpose: Section 1: The purpose of this club is to connect the Westfield State University college community and underserved students of Westfield Public High School community through service and leadership. Westfield State University students will travel to the “Our House”; a facility in downtown Westfield where the underserved high school students will be residing. Westfield State students will mentor these individuals through a series of different programs involving skill building and be a peer mentor for these individuals to give them encouragement and a positive atmosphere. This club will serve a purpose to the community through outreach and becoming actively involved in fundraising on and off campus to raise money for activities regarding “Our House” and the undeserved students. Article III Membership: Section 1: Section 2: Membership shall be open to all full-time and part-time undergraduate students of Westfield State University who have paid their student activities fee for the current academic semester. Members are considered to be active if they attend and participate in two (2) events per month. Club members will attend biweekly meetings with three (3) unexcused absences over the course of one academic year. These biweekly meetings will be in addition to the two (2) events per month. Article IV Officers: Section 1: Section 2: Section 3: Section 4: The officers of the club will consist of Co-Presidents, Vice President, Secretary, Treasurer and Fundraiser Chair. Duties of the officers. a. Co-Presidents shall govern the executive and general club meetings, responsible for coordinating events and take responsibility for major contacts with advisor and Westfield Public Schools. b. Vice President will assist the president, fill any uncompleted duties by the President, and keep contact with the adjustment counselor at Westfield Public Schools. c. Secretary will record minutes and attendance for both executive and club meetings and complete and provide all necessary paperwork. d. Treasurer shall be responsible for managing club financial accounts, budget, and maintain communication with Student Government Association. e. Fundraising Chair shall be responsible for contacting other businesses and professionals on campus in order to set up various fundraising opportunities. They shall all be in charge of advertising with assistance from other executive board members if needed. Any active member of the club may run for an executive board position. The term for each officer position shall be one (1) academic year. Article V Advisors: Section 1: Section 2: Section 3: Section 4: Advisors are open to any faculty, staff or librarian. The advisor(s) must be available for any guidance needed from the officers. The main duty of the advisor(s) is to be available for assistance and guidance if it is needed at any time. There shall be no more than two (2) advisors. It is the duty of the executive board to select advisors. The executive board must come to a two-thirds (2/3) percentage agreement in order for an advisor to be approved. Article VI Elections: Section 1: Section 2: Section 3: Section 4: Section 5: Any person(s) who can be nominated must be an active club member and will be nominated by other members of the group. The nominee must accept the nomination in order to run for the position. Votes will be cast by paper ballot. Votes will be tallied by members of the current executive board; however, one executive board member will not be eligible to vote. No election may be held if there is not a quorum of fifty percent (50%) of the club members plus one (1) present at the meeting. If in event of a tie, the executive board member who abstained from voting shall break the tie. Elections shall be held the second to last meeting of the academic year. Article VII Meetings: Section 1: Section 2: Section 3: The club will meet no less than two (2) meetings per month. Executive board shall meet a half hour before regular meetings. Co-presidents shall call special meetings if needed with or without an advisor. Article VIII Vacancies: Section 1: Section 2: If in the case of an open executive board position, members of the club may run for that specific vacant position. Refer to Article VI for election procedures. If in the case of an open advisor position. Refer Article V Section 4 for filling an advisor vacancy. Article IX Amending Procedure: Section 1: This constitution may be amended by a two-thirds (2/3) majority vote of the voting members of the club and if approved by the Rules and Regulations Committee of the Student Government Association. Article X Removal from office: Section 1: Section 2: First a club member will make a motion to remove the officer. In the case of a removal of officer, the executive board must come to a two-thirds (2/3) majority vote. First a club member will make a motion to remove the advisor. In the case of a removal of an advisor, the executive board must come to a two-thirds (2/3) majority vote.
