Administrative Assistant I Purpose Purpose: Provides varied administrative support for the Assistant Vice President of Student Affairs and 3 reporting departments. Essential Functions Function 1: Requires exercise of independent judgment, initiative and ability to make decisions relative to The Big Event, Alternative Spring Break program, Student Activities and University Events when necessary. Assist with the management of major university wide programs including but not limited to overseeing participants database, scheduling student training, collection of monies and payments for deposits and preparing travel. 25 % Time Function 2: Responsible for data entry for reports, letters and forms,newsletters and other various documents. Assist in the development and implementation of internal policies and procedures. 25 % Time Function 3: Maintain calendar of events and schedules and coordinates meeting arrangements and special events. Coordinate and maintain calendar for departmental conference rooms. May serve on University and divisional committees. 10 % Time Function 4: Daily administrative departmental operation which include but not limited to opening and closing office, student staff supervision, main point of contact for calls and student services. Orders and organizes departmental supplies. Acts as the unit liaison with other departments and outside agencies. Oversees mail distribution, routing of departmental contracts. Serves as back up for other Administrative and support personnel. Performs other duties as assigned. 20 % Time Function 5: Coordinate equipment and vehicle usage. Coordinates and maintains calendar of events on behalf of departments including scheduling meeting room requests and maintaining meeting minutes. Qualifications Required Qualifications: Bachelor's degree with 1 year upper level secretarial experience or high school with 5 years of increasingly responsible administrative, secretarial and clerical experience with 1 year of supervisory experience. Use of personal computer and Microsoft office software and standard office equipment. Proficiency in all phases of worked performed. Usual office environment. Specific job requirements include but not limited to effective organizational skills, time management, oral and written communication skills. Comfortable working with a diverse population.
