THE UNIVERSITY OF TEXAS AT ARLINGTON ADMINISTRATIVE AND PROFESSIONAL (NON-TEACHING) JOB DESCRIPTION TITLE: CODE: Director of Special Events, Office of the President 0349 VACANT FUNCTION: To direct the planning, implementation and logistical support for university events, as directed by the President. SCOPE: Responsible for developing and maintaining favorable working relationships with faculty, staff and leaders of community groups in planning and scheduling events for the President. Responsible for making all arrangements with ARAMARK and other food service providers which cater events sponsored by the President. DUTIES AND RESPONSIBILITIES: Typical: Meet with appropriate University faculty and staff to plan and schedule events. Coordinate and direct events on and off campus, including those at the home of the President. Serve as liaison with catering services and reservations personnel. Prepare correspondence, invitations, name tags RSVP lists, etc. Supervise the maintenance of computer databases of associates, including UTA faculty and staff, community leaders and legislators, and university supporters such as donors, alumni, and advisory boards. Maintain accurate records of activities, expenditures and schedule. Keep the Public Affairs Office informed of publicity for events open to the public. Respond to all inquiries by phone, in person or through mail. Perform related duties as required. Periodic: Recommend new procedures and policies for improvement of support activities. Prepare reports as assigned. Serve on special committees as appointed by the President. ACCOUNTABILITY REPORTING RELATIONSHIPS REPORTS TO: Special Assistant to the President and from the President SUPERVISES: employees, student workers, selected university personnel, caterers and contractors INTERNAL CONTROL: Responsible for the design, execution, and effectiveness of a system of internal controls which provides reasonable assurance that department operations are effective and efficient, department assets are safeguarded, department financial information is reliable, and the department complies with applicable laws, regulations, policies, and procedures. WORKING CONDITIONS: Normal Office conditions. Some work will be performed on weekends and in the evenings. Ability to work flexible hours; weekends and nights occasionally required. Ability to exercise initiative, independent judgment, discretion and flexibility required. Willing to work with associates as a team member, with the best interest of the university as the goal. Must be able to deal tactfully with a wide range of diverse individuals and groups. Must keep confidences and release information only when there is a professional need to know. Must be detail-oriented. REQUIRED QUALIFICATIONS: Bachelor’s degree or related experience. Experience involving the coordination of events and social activities from inception to completion. Typing 65 wpm. Expert computer skills.
