FUNCTION: To provide highly responsible administrative assistance to the VP for
Research and to the Dean of the Graduate School.
DUTIES AND RESPONSIBILITIES: Administrative support to the Vice President for
Research and the Dean of the Graduate School. Directs the day-to-day operations and
priorities of the office; provides majority of clerical support for the vice president and the
Dean; drafts and edits correspondence; gathers information from a variety of sources for
the vice president and the Dean; assumes responsibility for special projects as requested;
attends meetings as needed; records and transcribes meeting minutes as requested;
coordinates and oversees budget expenditures, leases and maintenance contracts;
maintains graduate faculty database and records. Responsible for certification of English
proficiency requirements for graduate teaching and research assistants. Responsible for
tracking status of graduate teaching and research assistants according to policy. Ensures
compliance with applicable University policies; and performs other related duties as
assigned.
ACCOUNTABILITY
REPORTING RELATIONSHIPS
REPORTS TO: Vice President for Research; Dean of the Graduate School
SUPERVISES: Office Assistants, work-studies
INTERNAL CONTROL: Responsible for department personnel reports and records,
time card records for students and non-exempt classified staff, budget tracking and
balancing of the department appropriation ledger. Responsible for the design, execution,
and effectiveness of a system of internal controls which provides reasonable assurance
that department operations are effective and efficient, department assets are safeguarded,
department financial information is reliable, and the department complies with applicable
laws, regulations, policies, and procedures.
REQUIRED QUALIFICATIONS: Strong organizational and interpersonal skills;
multi-task oriented. Strong clerical and office skills and proficiency with multiple
software programs. High school graduation and five years of upper-level administrative
experience required. Prefer experience in an executive-level office within the UT
System. Bachelor’s degree preferred.
