Administrative Services Officer I Purpose Purpose: Oversee the administrative end of the Mechanical and Aerospace Engineering academic unit within the College of Engineering Essential Functions Function 1: Oversee workload of 6 clerical staff and providing guidance and counsel to 5 technical staff members. Plan and organize staff duties and distributes work accordingly. Administers various tasks among the staff to carry out the initiatives mandated by the department chair. 15 % Time Function 2: Provide Chair with reports and statistics as required by the college and university regarding budget expenditures and faculty productivity reporting. Prepare draft reports and other correspondence with pertinent information to assist Chair with managerial report to the College of Engineering and Provost 25 % Time Function 3: Manage departmental expenditures and provide the Chair with scheduled financial overview and projection of fund balances throughout the year. make expenditure decisions and identify sources of funds for departmental operating needs. 25 % Time Function 4: Assist all faculty with his/her account grant management starting with the startup package to hiring research assistant to help them understand their grant account expenditures and balances. Guide faculty to follow the policies and procedures of the University regarding procurement and employment of researcher and visiting scholars. 25 % Time Function 5: Provide input for ongoing accreditation process of the Graduate Programs Reviews and ABET. 5 % Time Function 6: Assist the Chair of Tenure and Promotion in preparing faculty packages following the institute regulations and procedures for re-appointment, decision years, promotion and tenure 5 % Time Function 7: % Time Function 8: % Time Marginal/Incidental Functions Marginal/Incidental Functions: Other related functions as assigned. Qualifications Required Qualifications: Bachelor's degree in business administration or related field. Four years of experience in administration or business management including at least two years at the Administrative Assistant level or equivalent. Preferred Qualifications: This person must have 8 years experience working in Higher Ed; highly organized and a willingness to work with others.
