THE UNIVERSITY OF TEXAS AT ARLINGTON ADMINISTRATIVE AND PROFESSIONAL (NON-TEACHING) JOB DESCRIPTION TITLE: Assistant to the Dean of Engineering CODE: 0338 FUNCTION: The incumbent will support the Dean of Engineering by performing all financial activities assigned as well as carrying out the duties of Office Manager of College of Engineering Dean's Office. DUTIES AND RESPONSIBILITIES: Review and approve all financial activities for which the Dean of Engineering has review and approval responsibilities. Approve all DEFINE activity which must be approved by the Dean. Office manager for the Office of the Dean of Engineering. Responsibilities include: staff supervision; facilities management; and office equipment oversight. Budget Director for the College of Engineering including updates of budget records, working with other departments to collect their figures and combining all data into a College total for presentation to the Provost. Account reconciliation, creating spreadsheets to track expenditures, reporting expenditure levels to the Dean, reviewing and approving procard activity for the Dean. Interact with all levels of University and College of Engineering administrators, faculty, and staff. Work closely with financial assistants in the college to help with questions and problems that arise. This position reports to the Dean of Engineering. The primary responsibility is to handle all assigned financial activities, including define approvals, for the Dean. The incumbent will also be the Office Manager of the College of Engineering Dean's office. ACCOUNTABILITY REPORTING RELATIONSHIPS REPORTS TO: Dean of Engineering SUPERVISES: Administrative Assistant II, Administrative Assistant I, Office Assistant II, Student Employees. INTERNAL CONTROL: Responsible for the design, execution, and effectiveness of a system of internal controls which provides reasonable assurance that department operations are effective and efficient, department assets are safeguarded, department financial information is reliable, and the department complies with applicable laws, regulations, policies, and procedures. WORKING CONDITIONS: Exposure to standard office conditions; Repetitive use of a keyboard at a workstation; Use of manual dexterity; Lifting and moving REQUIRED QUALIFICATIONS: Bachelor's degree in accounting, business, finance, or related field. 3 years experience preparing budgets. Equivalent combination of relevant education and experience may be substituted as appropriate. PREFERRED QUALIFICATIONS: Master's degree in business or financial discipline. 3 years of budget preparation and presentation in a college or university environment. 3 years supervisory experience working as an office manager. Excellent computer experience with spreadsheet and database proficiency (MS Office etc). Excellent interpersonal, organizational and writing skills; ability to work independently, be detailed oriented, and able to work under stressful situations in order to meet deadlines.
