Purpose
Purpose:
Provide responsible administrative support to the Dean and staff. Communicate
effectively, direct simultaneous activities efficiently, and possess strong
interpersonal, communication, and time management skills.
Essential Functions
Function 1:
Provide administrative support for the Dean, Associate Dean, Assistant Dean and
staff with programs and activities of the Dean's Office and college, including
Commencement Ceremonies, Business Week, and EMBA program.
25 % Time
Function 2:
Responsible for daily administrative duties, such as answering all incoming calls,
assisting visitors, maintining the college's directory, maintaining and updating the
Policies and Procedures Manual, keeping log of documents routing through the
Dean's office, keeping parking pass log, maintaining key log and preparing annual
audit key report, and daily upkeep of suite area.
25 % Time
Function 3:
Maintain the inventory of supplies for the Dean's Office. Use a Procurement Master
Card to order supplies, register staff for conferences, and other procurement needs.
Keep a procurement log and reconcile it monthly.
10 % Time
Function 4:
Make room reservations using Outlook's calendar. Work in Astra Web Client for room
reservations for events and check room availability.
10 % Time
Function 5:
Coordinate the Associate Dean's calendar and assist with the Dean's calendar.
10 % Time
Function 6:
Plan, coordinate, and attend the Beta Gamma Sigma Honor Society induction
ceremonies.
5 % Time
Function 7:
Plan and coordinate meetings, and assist with other College events.
10 % Time
Function 8:
Coordinate visits from Visiting Scholars.
5 % Time

Qualifications
Required Qualifications:
High school graduation or equivalent. 3 years of secretarial experience. Computer
skills and ability to use standard office equipment. Applicants must include in their
online resume the following information: 1) Employment history: name of company,
period employed (from month/year to month/year), job title, summary of job duties
and 2) Education: college or college degree, list school name, degree type, major,
graduated or not, and hours completed if not graduated.
Preferred Qualifications:
Extensive experience and knowledge of Microsoft Suite (Word, Excel, Outlook, and
Publisher). Knowledge of PeopleSoft and Astra Web Client room scheduler. Excellent
communication, time management, and interpersonal skills.
