LOGISTICAL DETAILS OF TRIP
Executive summary
Please provide a brief
description of the trip and the
activities planned.
Accommodations
Please describe your plan for
accommodation(s)
This trip takes us to Paris for a couple of days to visit some very famous places like The
Louvre and the Eiffel Tower. Then we will bike this classic Loire Valley bicycle tour
which will cover a little over 130 miles in 5 days and will take us past some of the most
beautiful châuteax. We will include the entrance fees to two châteaux, most likely the
beautiful Ambois and Chenonceau. We will cycle back roads through some of the
country’s most beautiful scenery and natural surroundings. This trip is a great way to see
and experience cycling in France.
All of the accomodations are at Class 3 hotels, All hotels have a private bath in the room
and two single beds or a double bed. If we have an odd number of people, we can get a
room with three beds. The contract rate for all the hotels, at the contract price, is until
September 2011.
Hotel Alésia Montparnasse, in Paris, wants 30% to book the reservation and is nonrefundable. Another 60% is due 21 days before arrival.
Hotel Kyriad Tours Centre, in Tours, wants 30% to book the reservation and if we cancel
7 days prior to arrival, we can get all the money back.
Meals
Revised October 2009
Hotel Plantagenet, in Chinon, only needs a credit card to book the reservations and the
money is needed upon arrival.
The meals on the bike tour are all included. All meals will be at the hotel restaurants or

RISK ASSESSMENT
Please assess the risks and hazards of your trip. Carefully consider each area of risk and how it may affect your trip.
Devise a plan to prevent each hazard and to respond to it if it becomes necessary. Please be very specific for each section
if applicable.
Trail conditions, river crossings, weather, wildlife (bears, snakes, etc.)
Climate/terrain
Potential hazards
This tour follows asphalt paved roads which may have moderate traffic and no shoulders.
Response
We will rent classic hybrid bikes for the tour and stop frequently to keep everyone
together. Even though some roads have no shoulders, the drivers in France are
considered courteous and give enough room for bikers.
Political concerns, crime, language translation, terrorism
Foreign Country
Potential hazards
Country is politically stable; however petty crime is still common, and it is always wise
to be cautious.
Response
Warn group about safeguarding passports, money and credit cards; monitor for unusual
crime activity against tourists in advance.
Road conditions, drivers, insurance
Transportation
Potential hazards
The roads are all paved, but some may have moderate traffic at times.
Response
There are numerous bike tours through France and the roads we will be riding are very
common for biking. We will have maps and stop often to keep everyone together.
Level of fitness, screening concerns, experience with equipment or activity
Participants
Potential hazards
The longest day of bike riding is 42 miles with flat and undulating terrain.
Response
Trippers must be able to ride 30 miles at 14 mph.
Conditions unique to this type of trip
Other
Potential hazards
This trip is a self-guided cycling tour. Extreme differences in bike riders ability, mainly
speed of riders.
Response
Biking will be done at an average speed of 14 mph. A self-guided tour means is we will
be riding as a group, with maps, but it requires individuals to use problem solving skills
and to be adaptable. Sometimes route finding, losing our way, finding it again and
asking the locals for help are all part of the adventure. All this will be noted on the
prospectus.

COST AND BUDGET DETAILS
Foreign currencies
For int’l trips list each foreign
currency, the current $US
dollar exchange rate and what
contingencies you have if that
rate changes. If a tour
operator or agent is being
used, what currency is the
agent to be paid in?
Deposits
What deposits will be required
by airlines, hotels, tour
operators, etc., and when?
The trip is priced prior to the trip, so a change in currency will make a difference. The
dollar appears to be rising, which means the trip may cost less when it is run than when it
was priced. The trip was priced at €1.50/1 dollar, a bit conservative, but that will also
cover a 3% credit card charge.
The bike rental company, DeTours de Loire www.detoursdeloire.com, requires 30%
deposit at time of booking and 70% due upon picking up the bikes. 100% of the deposit
is returned if cancellation is before 21 days of picking up the bikes, which is August 26.
Hotel Alésia Montparnasse, in Paris, wants 30% upon making the reservation, 60% 21
days before arrival, which is August 26 and the rest 7 days before arrival.
Hotel Kyriad Tours Centre, in Tours, wants 30% upon making the reservation and the
rest upon arrival.
Hotel Plantaganet, in Chinon, does not want a deposit and wants the total amount upon
departure.
Refunds
What is the latest date you can
cancel and still receive a full
refund?
Participant deposit
What are the initial deposit
and your schedule of
payments?

What will your cancellation
policy be for the participants?
