Please complete the form with as much detail as possible, and attach additional sheets if necessary. Also include a detailed budget/costing sheet that clearly shows all costs associated with your planned excursion. The trip proposal form and budget are due two weeks prior to the MEC meeting in which it will be reviewed. Deadlines will be posted on the MEC leader website (http://snebulos.mit.edu/orgs/amc/) and sent to you on the MEC leader listserv well in advance of the meeting. The MEC will not accept late proposals unless the chair is notified in advance with a compelling reason. Incomplete applications will be returned to you and not reviewed until complete, so please make sure to fill in all applicable sections. The application was created in a Microsoft Word protected document. To fill in each section click on the check box and/or on the grey text box and start typing. The boxes will automatically get larger as you fill in text. If you find that you need a lot of space to explain a section, please say “see additional attachment” and attach a separate page. In addition, the following are helpful during the review process, but need only be submitted after your proposal is accepted: 50 and 150 word notices for the AMC Outdoors and www.outdoors.org. It is the only guide service approved to lead groups in Denali National Park. We must contract with Murie and their program to be able to conduct AMC group hikes and activities within the Park boundaries. We stay on site. With the motels we can cut $40 off the lodging per room per night if we pay at time of call. There is a 100% refund if cancelled outside 7 days; however, the charge would be cashed upon deposit. Not having the cash nor the desire to risk and front the deposit we are relegated to a wait until we get money scenario. The faster we register the faster we can hold the date in this high demand area during peak season. with others it is a 30 to 60 deposit period. 100% refunds available up to one week on hotels on groups. Less than 30 days on hostel for 25% penalty, less than 14 days 100% commitment. Cruise = Cancellation fee = $25pp 60 days out, 50% 60-30 days, and 100% within 30 days. Alaska RR = 100% refund if outside 45 days advance notice. Ferry to Kodiak, if 55 days out pay in full with 30 days or more for full refund, less than 30 days is 85%. Penalties and fees for local commuter plane will be subject to and reflective of the fees the carrier charges and provisions for refund whether whole and in part if any. All air is purchased in participants name and may not be refunded in part or in whole. After 2/14/09 cancellations are subject to a 5% administrative cancellation plus all the conditions of Refunds above. Land costs will be refunded if a replacement participant can be found and covers all costs to take up the vacant spot. Participant who cancels will forfeit any amounts not able to be covered by new participant and will be additionally subject to the 5% administrative cancellation fee. Airfares purchased in the participants name are the property of the participant and cannot be refunded.
