Major Excursions Trip Proposal Form
The following pages contain the application to lead an AMC Major Excursion. Please complete the form with as
much detail as possible, and attach additional sheets if necessary. Also include a detailed budget/costing sheet
that clearly shows all costs associated with your planned excursion. The trip proposal form and budget are due
two weeks prior to the MEC meeting in which it will be reviewed. Deadlines will be posted on the MEC leader
website (http://snebulos.mit.edu/orgs/amc/) and sent to you on the MEC leader listserv well in advance of the
meeting. The MEC will not accept late proposals unless the chair is notified in advance with a compelling reason.
Incomplete applications will be returned to you and not reviewed until complete, so please make sure to fill in all
applicable sections.
The application was created in a Microsoft Word protected document. To fill in each section click on the check
box and/or on the grey text box and start typing. The boxes will automatically get larger as you fill in text. If you
find that you need a lot of space to explain a section, please say “see additional attachment” and attach a separate
page.
In addition, the following are helpful during the review process, but need only be submitted after your proposal is
accepted:

Trip prospectus – without the application forms attached – in Microsoft Word or PDF format
Finally, we need to have on file at Joy Street, the following documents:
A completed confidential medical form for the leader and co-leader (after approval is given)
Copies of first aid and CPR certifications for leader and co-leader (before or after approval is given)
A completed application to be a co-leader if the co-leader is new (before proposal is submitted)
We will accept snail mail applications, but electronic forms are preferred. Please save and forward your
electronic document with the following naming convention:
Leader’s last name, trip destination, year of trip and what type of document it is (application, budget, Outdoors listing or
prospectus)
For example, Smith-New Zealand-2007-Application.doc or Smith-New Zealand-2007-Budget.xls

Hike and explore areas of Southcentral Alaska without bush planes. Stay and hike inside

Combination of motels, one hostel stay, canvas platform tents (in Denali), and on board
ferry ship.

Denali N.P.:
Groups are required to use Park Guide service - concessionaire in Denali. We must hire
them as guide to hike as a group in Denali National Park.
Lands Surrounding Town of Kodiak on Kodiak Island:
Land owned by U.S. Coast Guard. No fees or permits to hike trails on property. Contact
person: Officer Lutz U.S. Coast Guard Military Police, 907-487-5555.
ALL Alaska N.P. Lands:
The AMC is considered a commercial operator since the trip Leaders receive
compensation. A Commercial use authorization is required for access to all Alaska N.P.'s.
A single C.U.A. in the name of the AMC can be issued for multiple parks and is good for
2 years. All necessary forms are on nps.gov site. Contact: Brenda Coleman, Office of
Concession Operations, 907-644-3362.
Kenai N.W.R.:
The AMC is considered a commercial operator since the trip Leaders receive
compensation. A Special Use Permit is required for access to all Alaska's N.W.R.'s. A
S.U.P. in the name of the AMC can be issued for a specific individual Refuge and is good
for one year. All necessary forms are on kenai.fws.gov site. Contact: Rick Johnston 907260-2810.

Inuit influence. We will learn more about the culture and its impact in these communities

MURIE - Part of the Denali Institute operations is an endorsed guide service and teaching
arm within Denali National Park. It is the only guide service approved to lead groups in
Denali National Park. We must contract with Murie and their program to be able to
conduct AMC group hikes and activities within the Park boundaries. We stay on site.
Murie Science and Learning Center - Denali Institute

The Murie Science and Learning Center offers trained and licensed park guides to conduct
progams in Denali. The conduct programs for adults as well as for children. They are the
only and exclusive guide service in Denali National Park for AMC group hikes.

Depending on hotel, hostel, cruise, Murie, etc we have a variety of deadlines. With the
motels we can cut $40 off the lodging per room per night if we pay at time of call. There
is a 100% refund if cancelled outside 7 days; however, the charge would be cashed upon
deposit. Not having the cash nor the desire to risk and front the deposit we are relegated to
a wait until we get money scenario. The faster we register the faster we can hold the date
in this high demand area during peak season. with others it is a 30 to 60 deposit period.
100% refunds available up to one week on hotels on groups. Less than 30 days on hostel
for 25% penalty, less than 14 days 100% commitment. Cruise = Cancellation fee = $25pp
60 days out, 50% 60-30 days, and 100% within 30 days. Alaska RR = 100% refund if
outside 45 days advance notice. Ferry to Kodiak, if 55 days out pay in full with 30 days
or more for full refund, less than 30 days is 85%. Penalties and fees for local commuter
plane will be subject to and reflective of the fees the carrier charges and provisions for
refund whether whole and in part if any. All air is purchased in participants name and may
not be refunded in part or in whole.
Initial deposit due with application: $1,000.00;
Second Payment of $1,500.00 due February 1, 2009; and
Balance due by: May 1, 2009.

February 14, 2009. After 2/14/09 cancellations are subject to a 5% administrative
cancellation plus all the conditions of Refunds above. Land costs will be refunded if a
replacement participant can be found and covers all costs to take up the vacant spot.
Participant who cancels will forfeit any amounts not able to be covered by new participant
and will be additionally subject to the 5% administrative cancellation fee. Airfares
purchased in the participants name are the property of the participant and cannot be
refunded.
