TRIP DETAILS A) Executive Summary: Brief outline of trip and trip activities. Glacier Institute (GI), www.glacierinstitute.org, offers hands-on, field based experiences in collaboration with Glacier National Park (GNP). This trip includes 4 day-long courses in the Glacier area that are led by a GI instructor, and accompanied by a GI staff member, while hiking on Glacier's trails. GI works with the leader to ensure a balance that allows leraning while hiking. The other three 2-3 hiking days will not be full "courses" but GI will send one staffmember/naturalist with us who can answer general questions and will provide necessary permits for those hikes as well as the full "course" days. See draft prospectus (excact hikes and sequence are still being finalized but that doesn't affect the budget) B) Accommodations: Please describe your plans for accommodation(s). We will stay at Glacier Institute’s Glacier Park Field Camp (GPFC). GPFC is located just inside Glacier National Park, ½ mile from West Glacier on a bluff overlooking the Middle Fork of the Flathead River. There are very rustic,, basic plywood cabins; each has 5 hostel-style twin beds with nightstands and lamps. There is a separate bathhouse with 4 individual showers and 5 individual toilets. Other buildings house the kitchen/dining area, the classroom and library. The sleeping cabins are not heated. Overall, one will be “roughing it” with spartan accommodations in a beautiful location. . C) Meals: Please describe your plans for meals. All meals except two suppers will be provided and prepared by Glacier Institute in conjunction with a caterer. Leader led a similar trip in 2004 and meals were satisfactory and cost is very good (at $28 per person per day for 3 meals not worth making meals ourselves for only slightly less money and a lot more work). The suppers not included at GPFC will be eaten in restaurants (cost is included). Participants will be instructed to pay cash for any alcoholic drinks as they are not included. We promote the protection, enjoyment, and wise use of the mountains, rivers, and trails of the Appalachian region. We believe that the mountains and rivers have an intrinsic worth and also provide recreational opportunity, spiritual renewal, and ecological and economic health for the region. We encourage people to enjoy and appreciate the natural world because we believe that successful conservation depends on this experience. We fulfill our mission through the three interconnecting pillars of the AMC: conservation, education, and recreation How will this major excursion meet this mission of conservation, education, and recreation? This trip offers field-based programs unparalleled on most major excursions. By working with GI, AMC can offer an approved trip that fits within GNP's regulations. We will have a specific topic and educator on 4 days; the other 3 days we will have a GI naturalist along to answer general questions. H) Outfitters: Will this trip require an outfitter? Liability insurance: GI has liability insurance (as required by GNP) of $1 million/per person/per claim, maximum $3 million per incident. Emergency response: GI's emergency response protocols will be followed. Also, GI is a collaborator of GNP and will notify GNP rangers of any emergencies within GNP. GI staff members are WFA trained. RISK ASSESSMENT Please assess the risks/hazards of your trip. Carefully consider each area of risk and how it may affect your trip with specific potential hazards. Then, devise a plan to attempt to prevent each hazard and to respond to it if it becomes necessary. A) Climate/Terrain Potential Hazards: <Trrail conditions, weather, etc.> Response: Participants will be screened for appropriate hiking experience so they have the ability and equipment to travel safely on the trails. GI will have up-to-date information on trail conditions, and the leader will also coordinate this information. Weather will be monitored and activities changed or cancelled if conditions are not safe. Care will be taken to make sufficient noise on the trail to avoid surprise bear encounters. EMERGENCY ACTION PLAN Please describe your plans for dealing with emergencies. Please use as much detail as possible and attach additional sheets if necessary. A) Emergency Communication Participants will be asked to provide an emergency contact person. Leader and GI will have such information available. Leader will have cell phone which may not work in all areas. Any emergencies on trail will be coordinated with the leader and with GI leader/ staff liaison as per GI's protocols. B) Evacuation Any medical or other emergency requiring an evacuation will be coordinated through GI and GNP's rangers. C) Medical Care Car or ambulance transport to clinic or hospital in Whitefish or Kalispell. Kalispell has complete medical care including ability to airlift to a larger medical center if necessary. Before you leave for you trip, you will need to provide a list of participants and their emergency contacts in case something happens to someone in the field as well as an itinerary with phone numbers (where available) in case something happens at home. 6. COST INFORMATION A) What deposits are will be required from airlines, hotels, outfitters, etc. (and when): GI - 25% deposit due upon trip approval by ME committee; Airlines - will participants sign up; car rental - hold with credit card. B) What is the latest date for you to cancel and get a full refund? : Airlines - tickets to be purchased as participants sign up - once they buy them, they own them; GI programs - April, though they were very easy to work with and extended last time) C) What is the value of the deposit you will require of the participants? $ 300 D) What will be your cancellation policy for the participants? Refunds will be given to the extent that it will not raise the costs to the other participants. If the person's spot can be filled, that person may be entitled to up to a full refund of any costs. Cancellation/refund of any cost of airline ticket will be determined by airline policy and participants will be informed of such policy in the prospectus, before they commit money. If their spot cannot be filled, a participant who cancels will receive a refund for any cancellable portion of the trip that will not increase the costs to the other participants or leaders E) Will trip run if minimum participant count not met? TRIP PROPOSAL AND APPROVAL PROCESS Trips cannot come before the Major Excursions Committee for approval unless the application is completed and received two weeks prior to MEC meetings for review.
