Specifically, to: - initiate and follow-up administrative transactions in the Organization’s computerized personnel system for recruitment of consultants and payment requests for settlement of honorarium; - reply to queries from field personnel and personally take care of the request or refer them to the most appropriate source; - initiate administrative transactions in the Organization’s computerized personnel system for the establishment, funding and extension of positions in the field; - facilitate briefing to newly recruited personnel at headquarters and in the field; - initiate and follow-up administrative transactions in the Organization's computerized financial and travel systems (i.e. Field Budget Authorizations, Field Disbursement Requests, Agency Service Requests, Purchase Requisitions, and Local Orders) as well as preparation of Travel Authorizations and processing of Travel Expense Claims; - support processing of budget revisions for projects; - ensure conformity of project documents and Letter of Agreements to prescribed standards and layouts and the inclusion of all signatures; - check and revise outgoing material for accuracy and correctness in accordance with house style and procedures and ensure that appropriate clearances have been obtained; - support finalisation, distribution and printing of project document and correspondence; - with referral to the relevant officer, take appropriate follow-up action in day-to-day work related to project activities; - set up and maintain files of operational and administrative nature; - prepare rough translations of routine letters; - perform other duties as required. *APPOINTMENT/PROMOTION TO THIS POST IS TEMPORARY, FOR THE DURATION OF THE ASSIGNMENT ONLY QUALIFICATIONS – ESSENTIAL Applications are normally not considered from candidates who do not possess ALL of the Essential Qualifications Education: Secondary school education. Experience: Three years of experience in clerical work, including operations work and one year at the G-3 level. Language: Working knowledge (level C) of English or French or Spanish and limited knowledge (level B) of one of the other two. Other: Knowledge of the Organization’s computerized financial, travel and personnel systems. Ability to draft routine correspondence in English or French or Spanish. Good knowledge of applicable procedures. Ability to work under pressure. Computer literacy and ability to use word processing and office technology equipment. Experience in field operations procedures and, in particular, emergency operations. Tact, discretion and ability to establish and maintain effective working relationships with people of different nationalities and cultural backgrounds. QUALIFICATIONS – DESIRABLE Experience and knowledge of FAO’s Field Programme Information Management System (FPMIS). Working knowledge (level C) of the second language.
