UWS POSITION STATEMENT POSITION DETAILS: Position Title: Exam Supervisor In Charge Establishment No: HEW Level: School/Office: Assessment & Graduation Unit, Academic Registrar’s Office Division: Corporate Strategy & Services Division CONTEXT: The Office of the Pro Vice-Chancellor (Students) leads the development of an integrated student lifecycle management strategy. Playing a leading role in developing a positive student experience, the Office of the Pro Vice-Chancellor (Students) integrates the functions of student recruitment and engagement, student administration, student services, campus safety and security and residential services to deliver an environment where UWS students can achieve and fulfil their aspirations. The Academic Registrar’s Office (ARO) is part of the Office of the Pro ViceChancellor- Students and is responsible for the effective and efficient management of all student and academic administration matters and relevant support systems. Student Administration provides services and support to the University’s internal and external clients through work teams deployed across the University in the areas of: Student Administration – Services including Courses and Timetabling services; Assessment and Graduation services; Student Enquiry & Information Services Student Administration – Operations including Admissions, Enrolments, Fees & Student Finance and Postgraduate Research Student Administration; Student Systems Communications The Assessment and Graduation – area is responsible for the maintenance and management of all assessment, progression and graduation related functions for the University; the provision of exam timetabling function for all staff and students; logistical management of all associated exam processes; results processing; management of progression processes; graduation processes of the University. PURPOSE/MAJOR RESPONSIBILITIES: The Exam Supervisor in Charge (SIC) is responsible for running of examinations in the designated exam room as directed by the Exam Centre and Assessment Team in accordance with examination procedures and policies. The role requires organisation of the exam room activities and paperwork, ensuring exams are run to schedule. Management of student conduct within the exam room, invigilate the exam and endeavour to create a quiet relaxed atmosphere. The SIC must always act in a professional and courteous manner and provide handson training to AS when required. REPORTING RELATIONSHIPS: The SIC reports directly to the ECTL and ECO on the campus they are assigned to. The Exam Centre Officer (ECO) or Exam Centre Team Leader (ECTL) will give direction and support in all exam supervision matters. The Assessment and Graduation Unit will from time to time give direction, training and support directly to the SIC and AS. SCOPE: All exam supervisors are required to have an understanding of and must bring the current Exam Supervisor Manual with them to each exam. Exam supervisors are required to organise the exam room, brief AS on their duties and set out exam papers prior to the commencement of the exam. Ensure the smooth running of the examination including delivery of instructions to students, monitoring of distractions, verification of student identities and maintaining the security of the exam materials at all times. Ensure that exam policies and procedures are adhered to throughout the exam. Invigilation of exam to monitor for cases of academic misconduct. Complete incident reports as required. A successful SIC will be able to work under pressure and unsupervised; be reliable, punctual, trustworthy and have good attention to detail; work as part of a team; understand and adhere to policies and procedures; dress in smart casual attire, able to remain calm and show leadership when dealing with stressful or unexpected situations. KEY FUNCTIONS/RESPONSIBILITIES/DUTIES: 1. Complete Online training sessions prior to commencing duties. 2. Follow UWS procedures, policies and directions as given by the Exam Centre and Assessment Team. 3. Report to the Exam Centre, sign the roster and collect all exam material ensuring they have the correct exam papers for the assigned room. Set up the exam room ensuring that there are adequate desks, Assistants are briefed and exam papers are correctly laid out as per instructions in the current Exam Supervisor Manual. 5. Read announcements to students as provided with exam papers. Refer to supervisor manual more detailed instructions. Ensure students are correctly identified and admitted to the exam room ensuring that only permissible materials are allowed into the room. 6. 7. Start and finish the exam on time and invigilate throughout the exam. 8. Report all incidents including student misconduct according to the procedures laid out in the exam supervisor manual completing the appropriate incident report. 9. Complete all required paperwork and keep all exam materials secure. 10. Return all exam materials at the completion of the exam to the exam centre as detailed in the exam supervisor manual. 11. Upon completion of an exam the SIC must ensure that the exam room is organised in an appropriate manner for the next exam. 12. Provide feedback to the exam centre on the performance of assistants in your room and suggested improvements to the exam process. SELECTION CRITERIA: 1.
