Classified New Employee Orientation ORIENTATION AGENDA • • • • • • • • Paid Leave: Sick, Personal, Vacation Absence Reporting Holidays Evaluation Process Professional Development Wage and Hour Guidelines Statement of Awareness & Understanding Employee Handbook, Working Conditions Document, Policy Overview • Personal Information • District Communications SICK LEAVE • Accrue one day per month of contract term • No limit on amount you can accrue • Can use sick leave for following: – – – – – Personal illness Illness in immediate household Family critical illness Bereavement leave Family/medical leave PERSONAL LEAVE • 12 month employees – 3 days • Short term employees – 5 days • Deducted from Sick Leave balance • Unused days do not carry over to next year • Request approval in advance from supervisor VACATION • For 12 month employees • Earn one day per month • Can earn to a maximum of 36 days • Days in excess of 36 rolls to sick leave • Prior approval from supervisor • Certain departments may have restrictions when vacation may be used USE OF ACCRUED TIME • Sick leave and vacation are accrued by the hour, can be used by the hour • Accrual balances are available through the Kronos time clock and on pay-check • Posted to account on last day of the month • Start accruing time after working 51% of month • Don’t have to complete probation to use them HOLIDAYS • 12 month employees receive 18 per year • Short term contract employees receive additional holidays during breaks • Holidays may change depending on the school calendars EVALUATIONS New Contract Employees • 6 month probation • Reviewed at midpoint • Contract issued if probation is completed Annual Evaluations • Every year for first three years • Every other year after that PROFESSIONAL DEVELOPMENT Financial incentive to take job related classes and training Classes must be pre-approved Credit Calculated: o 1 credit college course=1 credit o 16 seat hours = ½ credit PROFESSIONAL DEVELOPMENT (continued) How will compensation be earned? • 15 credits earned will allow employee to receive 2% of the base hourly rate for the range of the position they are in • The additional amount will be added to the employee’s hourly rate • All credits achieved must be submitted to by February 15 to be included in the hourly rate calculated for the following fiscal year WAGE AND HOUR GUIDELINES • All non-exempt employees must record hours worked in the Kronos system • Edit slips for missed punches • Employees must punch in and out for themselves • Timesheets must be signed by employee and by the administrator ADDITIONAL TIMEKEEPING INFORMATION • Pay period is Friday – Thursday • Classified employees cannot volunteer to work without being paid • Classified employees cannot receive a stipend or cash payment for work OVERTIME AND COMPENSATORY TIME • Method of payment is site based decision • Overtime pay is hourly rate at time and a half per hour worked OR • Comp time earned is time off at one and half per hour worked • Paid for hours worked in excess of 40 hours per week • Vacation, Sick Leave, Holidays, etc. not included in hours worked STATEMENT OF AWARENESS AND UNDERSTANDING • Sign at time of hire • Sign again by second Monday in September • Signed and turned in to your work site • Addendum highlights specific policies and laws • District policies are on web site EMPLOYEE HANDBOOK • Received when processed in HR • Updated every year • Distributed to continuing employees in August WORKING CONDITIONS AND BENEFITS DOCUMENT • Specific document regarding classified employees • Contains the Dispute Resolution Process POLICIES AND REGULATIONS The entire policy manual can be found at www.mpsaz.org/legal/mps_policy • • • • • • • • • • GDK-Support Staff Workday GDPD-Disciplinary Action: Support Staff GBCA-Staff Conflict of Interest GBCX-Workplace Harassment GBE-Staff Safety and Health GBH-Staff-Student Relations GBKB-Drugs and Alcohol GBKC-Dangerous Instruments and Deadly Weapons GBSA-Employee Technology Use JHG-Child Abuse GDK Support Staff Workday • Work schedule is determined by the supervisor or administrator • Employees working an 8 hour shift must take a minimum of a 30 minute meal break • Employees must clock in and out on Kronos for the meal break GDPD Suspension and Dismissal • Outlines the process used in disciplinary action for classified employees • Contains a detailed, but not conclusive list, of what is considered to be misconduct • Specific item to remember: – Must report to supervisor within 48 hours any arrest, charge, indictment, information, complaint, conviction or plea agreement involving a felony, misdemeanor involving drugs or alcohol or moral turpitude. – Failure to report may result in immediate termination of employment. GBCA Staff Conflict of Interest • Employment of family member • Business Relations - anyone who has a financial interest (or a relative that does) in any purchasing decision of the district • Employees cannot accept gifts from individuals or groups doing business with the district GBCX Workplace Harassment • Workplace harassment between employees is prohibited • Workplace harassment is defined as follows: Unwelcome verbal, written or physical conduct that denigrates or shows hostility toward an employee, applicant, volunteer or contractor Workplace Harassment (continued) • Based on race, color, national origin, age, sex, sexual orientation, religion, disability, marital status or pregnancy • Workplace harassment includes sexual harassment Complaint Process • Tell the individual that the behavior is unwelcome and that you want it to stop • Write a statement documenting the date, summarizing the conversation • Report the incident to the immediate supervisor • If confronting the individual is not an acceptable option, or if the conduct continues, contact the supervisor or contact Human Resources GBE Staff Safety and Health • Report safety concerns • Adhere to all safety guidelines and work requirements • Eliminate hazardous conditions • Follow injury reporting procedures if hurt on the job • Complete chemical safety training GBH Staff-Student Relations Relationships between staff members and students are prohibited, including dating, inappropriate affectionate advances, or verbal commentaries inappropriate to staff-student relationships GBKB Drug and Alcohol Testing • All employees are subject to reasonable suspicion testing • Bus Drivers are also subject to Federal Omnibus Act requirements • Contract employees in Operations and Food & Nutrition are tested at time of hire GBKB Drug and Alcohol Testing (continued) Reporting requirements: – Any employee arrested, cited or charged with a drug and/or alcohol related criminal offense shall notify their immediate supervisor no later than 48 hours after being charged. – Any employee convicted of a drug and/or alcohol related criminal offense shall notify, in writing, the immediate supervisor no later than 5 days after the conviction. GBKC Dangerous Instruments and Deadly Weapons Employees are prohibited from using, displaying, carrying or possessing any dangerous instruments or deadly weapon on district property or at a district function GBSA Employee Computer and Internet Use • Applies to anyone who uses the district’s computers • All electronic information services provided by the district is the property of the district • There should be no expectation that any information or communication is private • Any use that violates district policies is prohibited JHG Child Abuse • All employees who, when acting in the scope of their employment, develop a reasonable belief that a child is or has been a victim of child abuse must immediately report or cause a report to be made to Child Protective Services (CPS) or police • Always notify your supervisor or principal PERSONAL INFORMATION • Address and phone numbers should be kept current • Any change in beneficiaries with Benefits Department and ASRS • Direct deposit updates and withholding changes done directly with the Payroll Department DISTRICT COMMUNCIATIONS •Human Resources Matters •Employee Benefits Journal •MesAgenda •www.mpsaz.org
