Secure Voice Recordings
Smartphones and tablets using Apps can record conversations securely and offer much more in
terms of functionality and security than Dictaphone's.
Dictaphone's or Voice Recorders have always been used to keep things on record, however as
well as being an additional device to carry, they are an unnecessary security risk in terms of
information being held on unencrypted recorders, memory cards or tapes.
Smartphones and tablets must be encrypted before being used to store personal data, and data
must be transferred to central databases or stores as soon as possible. All identifiable data
should be removed if you leave employment or study

Management and Compliance Team at King’s College London and the Information Governance
Team at SLaM

One device, many uses. Voice recordings are just one use an iPhone or iPad has, and by their mobile
nature they are more likely to be to hand when needed.
Create strong passcodes to make sure your data is safe in case it's lost or stolen. The PIN (Personal
Identification Number) and automatic screen lock must be enabled with a minimum of 4 characters on
smartphones and 6 alpha-numeric characters on tablets.
 SLaM Trust users': Follow the security controls specified by ICT at device set-up.
 Enable a passcode by going to Settings -> General -> Passcode and then enter a pass code twice.
To be extra-safe, you can turn the Simple Passcode option on that same page off to use longer codes.
Encrypt your devices. All portable and mini devices including mini computers, laptops and other portable
media used to store and transmit personal data , the loss of which could cause damage or personal
distress to individuals, must be encrypted


Setting a passcode on an iPhone and iPad ensures data is automatically encrypted.
For Android use Settings -> Security -> Encrypt phone (or Encrypt tablet) under Encryption. A
passcode will be required to enable encryption fully.
Memory cards are less secure, so use built in storage which is protected by the hardware encryption.
Secure emailing and storage. Completed recordings can be securely shared with others via your
organisations' email service and saved to secure network storage. Data should be transferred to the
agreed central, secure storage (such as an office PC or central database) as soon as you return to the
office environment.
Editing tools included in Apps. Recordings can often be edited and listened to on the device itself.
Activate GPS I Location Services to locate the device if lost or stolen.


SLaM Trust users' iPads can be located using the mobile device management tool (MDM) installed by
ICT. The MDM tool is managed by the IT dept, so you’ll need to contact them to find the device
Non-SLaM: If you enabling Find My iPad/iPhone in Settings -> iCloud -> Find My iPad
Enable remote wipe to delete all data in case the device is lost or stolen and cannot be retrieved, if and
when it connects to the Internet. This will wipe the device after 10 failed passcode attempts.
 SLaM Trust users' iPads can be wiped using the mobile device management tool (MDM) installed by
ICT. The MDM tool is run by the IT department, so contact your IT department to do this.
 iPhone and iPad go to Go to www.iCloud.com/#find > enter your Apple ID > click Find My iPhone ->
All Devices > chose the device you want to erase.
 Android Open Android Device Manager -> Allow remote lock and erase.
The Mobile Device Management (MDM) tool is installed on SLaM tablets to monitor and maintain the
security of Trust owned tablet devices. It enables real time tracking to locate iPads if they are lost or
stolen and enables remote wipe.
