CLASS TITLE:
INSTITUTIONAL EFFECTIVENESS SPECIALIST
BASIC FUNCTION:
Under the direction of the Dean of Institutional Effectiveness (IE) and Accreditation Liaison
Officer (ALO), coordinates the various activities of the Office of Institutional Effectiveness
including the production of accreditation reports, documents and evidence. Works with the
college technical writer, divisional staff, and a variety of faculty and staff related to the
production of on-going accreditation, assessment, planning and research reports. Coordinates
the use of various campus databases to gather accurate data on institutional effectiveness,
evaluation of planning, program review and outcomes assessment; tracks the electronic portal
used for accreditation; and works with faculty to create and submit on-going accreditation and
assessment documentation. Serves as a resource for a variety of committees and task forces
as needed.
REPRESENTATIVE DUTIES:
1.
Coordinates with faculty, staff, and administrators in all aspects of the accreditation and
evaluation, including the completion of the college’s Self-Evaluation, Midterm Report,
Substantive Change, Progress Reports, and Annual Commission Reports. Manage the
collection and analysis of information and answers questions regarding the accreditation
process. (E)

Assist deans, department chairs, program leads and faculty to integrate and systematize
accreditation and assessment activities and data into program planning and review
process. (E)
3.
Assemble requested data and prepare studies and reports, including evaluation of technical
content. Review and proof documents, records and forms for accuracy, completeness and
conformance to applicable rules and regulations. Assist with the technical formatting of
complex reports. Maintain department web page(s). (E)
4.
Respond to ad-hoc queries from faculty, staff, students, and other internal and external
groups. Work collaboratively with peer institutions on data sharing, research, and policy
analyses that contribute to MiraCosta College decision-making processes. Communicate
with District and outside sources to resolve problems, provide or receive information.
5.
Organize planning and logistics for events put on by the department. Responsibilities may
include making room reservations; working with vendors; requesting facilities set up;
preparation of purchase requisitions; ordering invitations and food.
6.
Assist in the planning, organization, and implementation of Accreditation and Student
Learning Outcomes (SLO), Service Area Outcomes (SAO), and Administrative Unit
Outcomes (AUO) activities.
7.
Conduct workshops and presentations to faculty, staff, administrators, and community
members. Provide educational and training activities pertaining to accreditation for faculty
and staff.

8.
Serve as a resource for governance committees, including Institutional Program Review
Committee, Student Success, Student Learning Outcomes Assessment Committee, Budget
and Planning Committee, and Academic Senate Council.
9.
Schedule meetings and appointments for assigned administrator; prepare agenda items for
meetings; maintain records, attend meetings and prepare minutes for distribution to
appropriate personnel.
10.
Review reports and maintain records of expenditures; assist in preparing budget reports.
11.
Arrange and schedule a variety of meetings and conferences; make travel arrangements for
department personnel.
12.
Order and maintain office supplies and equipment; prepare and process purchase
requisitions according to approved procedures; schedule maintenance and repair of
equipment.
13.
Perform related duties as assigned.
KNOWLEDGE AND ABILITIES:
KNOWLEDGE OF:
Knowledge of process, principles, guidelines procedures and criteria for state, regional and
national accreditation requirements.
Knowledge of college data systems including TRAC DAT, Sharepoint Portal and Curricunet.
District organization, operations, policies and objectives.
Organization, policies and rules of assigned department or program.
Basic math for budget monitoring.
Modern office practices, procedures and equipment.
Correct English usage, grammar, spelling, punctuation and vocabulary. Excellent written and oral
communication skills and the ability to organize and present complex data clearly for a broad
audience are required.
Organizational, project and time management skills.
Methods and practices of recordkeeping and report preparation.
Interpersonal skills using tact, patience and courtesy.
Examining and re-engineering operations and procedures, formulating policy, and developing
and implementing new strategies and procedures.
ABILITY TO:
Learn to interpret, apply and explain rules, regulations, policies and procedures and apply them in
a variety of procedural situations.

EDUCATION AND EXPERIENCE:
Education and experience equivalent to a Bachelor’s degree and 2-3 years directly related work
experience.
LICENSES AND OTHER REQUIREMENTS:
Valid California driver’s license.
WORK DIRECTION, LEAD AND SUPERVISORY RESPONSIBILITIES:
Not assigned permanent staff to supervise. May provide work direction to student workers and/or
temporary staff.
CONTACTS:
Department coworkers, District staff, students, faculty, professional staff at other two- and fouryear institutions, vendors, governmental agencies, and the general public.
PHYSICAL EFFORT:
Primarily sedentary with intermittent standing, walking, bending and stooping, occasional light
lifting and carrying of objects weighting 25 pounds or less; ability to work at computer, frequent
and repetitive use of computer keyboard, mouse or other control devices; ability to travel to a
variety of locations on and off campus occasionally, as-needed to conduct district business.
EMOTIONAL EFFORT:
Ability to develop and maintain effective working relationships involving interactions and
communications personally, by phone and in writing with a variety of individuals and/or groups
of individuals from diverse backgrounds on a regular, on-going basis; ability to concentrate on
detailed tasks for extended periods of time and/or intermittently while attending to other
responsibilities; ability to work effectively under pressure on multiple tasks concurrently while
meeting established deadlines and changing priorities.
WORKING CONDITIONS:
Primarily works in an office environment; occasional to frequent interruptions by individuals in
person or by phone; intermittent exposure to acting in a disagreeable fashion; may work at any
district location or authorized facility during day and/or evening hours including occasional
weekends on an as-needed basis. Occasional local travel may be requested.
