CLASS TITLE:
ADMISSIONS AND RECORDS EVALUATOR
BASIC FUNCTION:
Under the direction of the Director of Admissions and Records or supervisor as assigned,
perform complex and technical duties involved in the analysis and evaluation of student records
and transcripts for graduation, transfer, and certification; perform clerical duties involving
admissions, registration, records maintenance, residency, and enrollment; provide technical
assistance and information to students, staff, and the public.
DISTINGUISHING CHARACTERISTICS:
Incumbent works under the direction of the Director of Admissions and Records. Primarily
responsible for the development, testing and implementation of the Degree Audit system; build
new and update existing degree and certificate programs in Degree Audit. In conjunction with the
other Evaluators, responsible for building course equivalencies and inputting transfer course
information. Train faculty and staff on the use of the program. Serves as a resource for
Admissions and Records personnel in troubleshooting various problems with student records
system involving course prerequisites set up. Maintains degree and certificate titles in student
records system.
REPRESENTATIVE DUTIES:
1.
Evaluate student records and transcripts for completion of degree requirements,
placement recommendations and completion of general education requirements for
admission to other colleges and universities; interpret course descriptions, analyze
transcripts for courses and units completed, course level, content, unit value, and
grading system from catalogs, telephone and written communication and other
appropriate reference materials. (E)

Provide technical assistance and guidance to students, staff, counselors, faculty and
administrators in the interpretation and clarification of registration, prerequisites,
graduation, academic and transfer policies, requirements, and procedures. (E)

Interpret for students and staff, the evaluation of college requirements pertaining to
financial aid, veterans' programs, award eligibility and scholarships. Assist other
departments by evaluating records for student eligibility. (E)
4.
Accept, review and process applications. Review and determine residency status of
applications based on state residency requirements; refer problems to supervisor for
assistance and resolution; notify students of need for additional information or
documentation.
5.
Assist students with enrollment problems/questions and, when appropriate, enroll
students directly. Assist in resolving student complaints regarding program errors and
make program changes as needed.
6.
Determine students' eligibility for graduation; prepare graduation lists, diplomas, and
certificates for each semester by name, degree, and major; consult with students
regarding graduation when necessary. Compute statistical data for graduation and verify
completion of final semester courses, prepare cumulative grade point average (GPA).

Enter a variety of data into the computer to update student information; compile
information, generate reports and create computer files as needed; prepare and maintain
a variety of records, reports, and files.

Prepare and transmit correspondence for students, verifying student status and other
information; respond to requests from other educational institutions and agencies
involving the verification of student status records. (E)

Assist in the development and maintenance of the Degree Audit system by developing
course equivalency grids and inputting transfer course equivalencies. Assist in the
troubleshooting and testing of the system.
10.
Train and provide work direction to student and other hourly workers as assigned.
11.
Perform related duties as assigned.

Operate a variety of office equipment, including computer and appropriate software.

Interpret and explain rules, regulations, procedures, policies and catalogs regarding student
registration, transcript evaluation, graduation, degree and transfer requirements.

Type at 50 words net per minute from clear copy.
Make arithmetic calculations quickly and accurately.

EDUCATION AND EXPERIENCE:
Education and experience equivalent to Associate in Arts degree or equivalent and two years
closely related work experience.
LICENSES AND OTHER REQUIREMENTS:
Not applicable.
WORK DIRECTION, LEAD AND SUPERVISORY RESPONSIBILITIES:
Not assigned permanent staff to supervise. Provides work direction to student workers and/or
temporary staff.
CONTACTS:
Faculty, staff, students, and the general public.
PHYSICAL EFFORT:
Primarily sedentary with intermittent standing, walking, bending and stooping; occasional light
lifting and carrying of objects weighing 25 pounds or less; ability to work at a computer on a
regular basis for short to extended periods of time, repetitive use of computer keyboard, mouse
or other control devices; ability to travel to a variety of locations on and off campus as needed to
conduct district business.
EMOTIONAL EFFORT:
Ability to develop and maintain effective working relationships involving interactions and
communications personally, by phone and in writing with a variety of individuals and/or groups of
individuals from diverse backgrounds on a regular, on-going basis; ability to concentrate on
detailed tasks for extended periods of time and/or intermittently while attending to other
responsibilities; ability to work effectively under pressure on multiple tasks concurrently while
meeting established deadlines and changing priorities.
WORKING CONDITIONS:
Primarily busy office environment; subject to frequent contacts and interruptions by individuals in
person or by phone; may be required to work at any district location during day and/or evening
hours including occasional weekends on an as-needed basis.
