The meeting was called to order by Terri Ellis (Chair) at 1:00 p.m.
1. Approval to Audio Record Meeting
Terri E. informed the attendees that the meeting would be recorded to assist with minutes.
2. Approval of minutes from February 11, 2015
Motion to approve the minutes from last meeting was made by John N. and seconded by
Jackie S. Motion was passed by unanimous vote.
3. Vice Chair Nominations
Jackie S. volunteered to be the Vice Chair. Vince will forward the nomination to get ratified
by President Delaney.
4. Facilities Report
Vince mentioned the only facility change since February 2015 was converting Quiznos and
Coyote Jacks in the Student Union to an Einsteins. This transition was made over Summer
2015. There has been discussion with Student Government to do a rebranding of the
Boathouse into more of a sports bar atmosphere including the back room becoming a
billiards room. The overall project to redo the front and back room is very expensive so they
have rescaled the project to make it more feasible. Vince also mentioned that from
Chartwells surveys most students are not interested in the back room and/or how to use it.
Vince mentioned that although the back room is currently very under-utilized we can’t just
get rid of it for another option that will also be under-utilized since it does have a purpose
right now for a sit-down meal. Terri and Jennifer both mentioned using the back room for
faculty meetings and/or luncheons. Dave confirmed almost all sales from the back room are
from departments or faculty. Jennifer commented her biggest complaint from faculty is the
desire for a salad bar in the back room. Korey stated they try to base the food on the student’s
choice and Student Government surveys.
From a contractual standpoint we are in the second to last year so in a little over a year UNF
will be putting out an ITN for our Food Services Contract. The Chartwells Contract began in
2002 for 10 years with a 5-year mutual agreement renewal that was signed in 2012. Since we
exercised the agreement the total has been 15 years with Chartwells meaning we have to go
to the market for our next Food Services Contract. Vince mentioned the ITN schedule will be
starting in Fall 2016 with Procurement Services and have it out for bids in Spring 2017.
Since the opening of the Student Union in 2009 all 4 original concepts in the food court have
been changed to a new concept.
The oldest food equipment on campus is in Starbucks which opened in 2007. This is a very
good position to be in.
5. Operational Report
Comparing sales from Sept/Oct 2014 to Sept./Oct 2015 we were up a bit in Sept., but
significantly down in Oct. There are 120 less meal plans compared to 2014 due to the lower
number of FTICs this year. Retail and evening/weekend sales are also down. The Boathouse
sales are really down, but that may be due to opening Einsteins in the Food Court. The
Boathouse has run promotions and specials for games but it appears students would rather
stay in their residence hall than go to the Boathouse. The Einsteins sales are good, more than
the two concepts combined that were replaced.
The new Tapingo ordering system is not working well with CardSmith so it is currently
being used at Starbucks and some at Einsteins.
Dave briefly spoke of the Partnership for a Healthy America program where Chartwells is
committed to improving labeling and making sure to offer a good variety of plant based food
options. Kevin mentioned that Chartwells does a great job purchasing fruits and veggies that
Oger Gardens has to offer.
Chartwells has become a major sponsor for Athletics. Coach Driscoll will be having a
weekly radio show at the Boathouse to draw in some participation and sales.
Korey mentioned that in Chop’d n’ Wrap’d the manager is increasing the weekly specials to
entice more variety in items being sold. The Outtakes in the Student Union sells the backyard
popsicles which was developed by an alumni couple. Student Government expressed a need
to extend the hours at Outtakes so Chartwells added 2 extra hours to the normal weekday
closing time. Chick-fil-A sales are still doing very well. The manager has an employee
contest for speed and quality of service which entices the employees to move the line quickly
while still providing excellent customer service. Starbucks has a new manger that came from
UF- she is doing very well here and challenges her staff to continue the fast, friendly
customer service at Starbucks. Ozzies also has a new manager with previous experience at
Starbucks, the Osprey Café and the old Boathouse. The Clubhouse now offers two new menu
items at night: Boneless Chicken Wings and Seasoned Curly Fries to add variety. The
Boathouse menu has changed the most. Student Government wanted a smaller, better quality
menu so Chartwells decided to go with buying fresh Black Angus beef for burgers and local,
baked bread for the buns. The menu sides were revamped so they are now an option when
you order instead of automatically being included with the purchase. Some new items are:
Baked Pasta & Mac n’ Cheese and Buffalo Chicken Mac n’ Cheese. The Fettuccine Alfredo
will be coming back in the next round of menu changes. Another item that will be added is
more wing sauce options to a total of 9 sauces. A veggie burger and healthy vegetarian salad
were added to the menu. The overall goal is better quality food which Chartwells believes
they have accomplished.
Courtney reviewed the marking initiatives that Chartwells is doing. Over the summer the
marketing was heavily emphasized towards the opening of Einsteins with sampling and
coupons. At the Boathouse they are bringing back Meal Deal Mondays, Greek Days/Nights
on Wednesdays and Game Days on Sunday. Chartwells is partnering with Osprey
Productions and Campus Life to have a weekly trivia night. Osprey Café is still promoting
weekly and monthly specials/themes to increase sales. Fall surveys have started that will go
through Nov. 19
6. Emerging/Other Issues
John asked about a compost center on-campus being over at the old skate park. With the
composting project there is an initial huge cost and then the on-going costs of maintaining
the project. John mentioned this is something Waste Management will be looking at as a
possible site for their proposal.
7. Future Meeting(s)
The next meeting will be scheduled in the Spring Semester around mid-February unless
something comes up that warrants an extra meeting.
