Internet Presence Committee MINUTES September 22, 2011 Members Present: Sharon Ashton, Lucy Croft, Marianne Jaffee Others Present: Marian Watters, Jamie Spruell, Dmitriy Bond, Jennifer Urbano 1. URL Alias Request for approval URL Alias Request for approval: http://www.unf.edu/secawareshowcase Requestor: UNF Cyber Security Awareness Showcase (regional conference) Request Details: UNF is hosting a regional conference for cyber security in October, and they would like to have a small web page with information about the conference. The conference is organizationally supported by CCEC (Layne Wallace), CCB, and Jeff Durfee from ITS is involved. Content: The web content in CMS will be created and maintained by the conference committee members. Business Justification: The University of North Florida in collaboration with the Information Systems Audit and Control Association (ISACA) Jacksonville Chapter, Infragard Jacksonville, and the Northeast Florida Chapter of the Information Systems Security Association (ISSA) is hosting the 1st Annual UNF Cybersecurity Awareness Showcase. The conference would like to have a UNF web presence with the UNF Brand to promote the conference and UNF. If this is a success, it will appear every year, and the School of Computing will own the content and maintenance of this along with Jeff. There is no linkage to the URL anywhere because it a partnership and should not be linked to a specific college. This makes it hard to find. The UNF logo should be added in the block with the colleges and sponsor. Left nav should have CCEC, CCB, ITS, campus map, and the University Center. It should be integrated. All partnerships should be listed with logos in the body. Bottom of page should have “Contact Us” and location. Motion to approve site with recommended changes and with an answer about what their intentions are regarding this website after the event, to be presented at the next meeting, and checking to make sure that all content follows the UNF Style Guide, Seconded by Marianne Jaffee, all in favor, motion passed 2. OIRA (Approved Electronically) Sharon’s Comments (by email): Two recommendations: A sentence or two is needed to explain every data set. There should never be a page that just has links to data. The following is a good example of a page that needs to be explained better: http://cmsstage.unfcsd.unf.edu/TwoWings.aspx?dept=15032433564&hmenu=15032386767&lmenu=1 5032386807&id=15032434827 We are missing lots of data on this page: http://cmsstage.unfcsd.unf.edu/TwoWings.aspx?dept=15032433564&hmenu=15032386767&lmenu=1 5032386807&id=15032434914 OIRA needs to find the missing data and include it or they need to explain that it is missing. Lucy’s Comments (by email): It is suggested that on the home page, they add the left hand navigation. At first glance, it is hard to notice “Contact Us” in the center horizontal navigation Motion to approve site with recommended changes and checking to make sure that all content follows the UNF Style Guide, Seconded by Lucy Croft, all in favor, motion passed 3. MyWings SAILS Hot Button Request The International Center wishes to request a MyWings portal Hot Button for the Student Affairs International Learning Scholarship (SAILS). SAILS provides new scholarship funding for undergraduate and graduate students to engage in international programs. Programs include study abroad sessions of various lengths, international exchanges, conferences, and research projects. SAILS is funded by the Student Life and Services Fee and represents a significant increase in our international offerings compared to previous years. It is available for all degree seeking undergraduate and graduate students. It will additionally benefit faculty as it facilitates exchanges as well as classes that include international trips, thereby increasing course options. Student Affairs plans for our expanded international offerings to be a fundamental part of the division’s and the University’s identity, increasing student connection to the institution, retention, and satisfaction, and serving as a draw for prospective students. They request to link the Hot Button to the International Center’s homepage, www.unf.edu/intlctr, where the SAILS PDF is located. They would like to run the link from September 21 through December 20, for a total of 90 days. The Student Affairs International Learning Scholarship (SAILS) is an exciting new opportunity for student international learning experiences. Scholarships are available for study abroad trips and other international offerings in the amount of $1,500 for short-term programs or $2,500 for long-term programs. A new icon can be placed on the site. The “sails” logo should be incorporated right on the “sails” page so that it matches. Once this is done, Lucy will let Jamie know and it will be added as a hot button. Motion to approve site with recommended changes and checking to make sure that all content follows the UNF Style Guide, Seconded by Marianne Jaffee, all in favor, motion passed 4. Annual Giving Webpage The annual giving program at UNF is experiencing growing pains as they transition from a young and simplistic program into a sophisticated and complex operation. It is their goal that the program will serve as the foundation for a comprehensive and successful development program where alumni and friends are able to invest in the university in a meaningful way. As a part of their marketing strategy, they will be implementing some new initiatives that will better enable them to educate and engage the various segments of their constituency, particularly young alumni and students. These initiatives will involve reaching out to them through a variety of channels to include print and online communication efforts, with crossmessaging, using each vehicle to ultimately drive end users to their website where they can learn more about UNF and annual giving. In order for them to be effective in their efforts, they need the ability to create some web addresses or shortcuts that are more friendly to the customer and easier for the end-user to view and understand what each page is about. Their current addresses are also extremely long and difficult to share and or include in printed materials. They respectfully request that they be given the ability to modify their web addresses from their current form to something that will allow them to be more effective in their efforts to reach their various constituents. Suggested Website Shortcuts and/or New URL’s unf.edu/annualgiving/students unf.edu/annualgiving/seniorcampaign unf.edu/annualgiving/youngalumni unf.edu/annualgiving/facstaff There is confusion in IA because they want “IA” in all of the URL’s and Annual Giving is requesting to remove IA and development from their student giving page, their senior gift campaign, their young alumni giving page, and their faculty and staff giving page. Sharon tried to find out if Pierre Allaire approved this, but it is unclear at this point. Jaime also reminded Sharon that this came up another time under a different director of annual giving and went nowhere. Dmitriy talked to Brandon McCray and Heather Varian, and they are trying to figure out what to do about branding at these campaigns. It was decided that the starting point should be with Pierre. ACTION ITEM –This will be sent back pending VP approval. 5. Residence Life Lucy wanted clarification that they still need to mimic CMS templates and guidelines; at this point, the IPC has not voted to exempt them from CMS. The priority right now is AA, and after that, the IPC will take a look at this and make a decision as to whether they need to go into CMS. ACTION ITEM – Paul Riel should be told that the IPC has not voted yet if they need to go into CMS or whether they will be exempt. This will not be voted on until the next two colleges are done. 6. Athletics Some issues that were resolved because of Dmitriy’s persistence: The fonts on their website were holding up the download speed; the fonts were changed to load after the whole page loads; they eventually stopped using the fonts. They are still not in ADA compliance (still pending). The vendor will let us know that it is ADA compliant (according to them),and it will go back to Rocelia Gonzalez to verify compliance. They did do some things regarding the branding issue and some still need to be addressed: the search box was moved over to the right myWings is moved Footer is fixed and is linked “lectures” still does not work “search” does not work ACTION ITEM – There are some follow-up items, and once Dmitriy comes back and says this is clean, then we will revisit the issue of the landing page. Power Outage Information: Dmitriy announced that there will be a power outage and data center outage in December (during break). All the equipment will be off in building 15 and all other buildings. Certain things should be up and running such as keeping the university website up in a limited fashion (the content could not be modified); the portal will be active. The dates are December 26 through December 31. Housing will have to be made aware of this because their webpage is not in CMS and will be down for five days. Email and phone services are on the list to be up and available. Any changes to content needs to be planned ahead and made before the outage. Next IPC Meeting, Thursday, September 29, 2011 @ 3:30 p.m. Orlando/Tampa Conference Rooms, UNF Hall, Building 53
