OPS RES LIFE WORK GROUP Meeting Minutes October 6, 2015 Present: Absent: I. Linda Koenig, Bill Carey, Lance Clark, Darnell Thompson, Maggie Wetter, Julia Bjornland, Molly Robbins, Hakeem Hopper-Collins, Samantha Guter, and Griffin Schultz Mayra Colon and Travis Bertonlino Announcements Introduction to materials Every meeting will be an opportunity to share in-service opportunities, goings on on-campus, and general thoughts to be shared II. Discussion Scheduling Conflicts Maggie and Darnell are facilitators at a presentation next week and will be unable to attend meeting. They also have a presentation at Cornell the following week (October 20 th). Linda will be out next week and Bonnie Prunty will be at the meeting in her place. Ground Rules What is talked about in these meetings must remain confidential o Create a safe space for discussion and ensure comfort of committee members Ensure respect among committee Work as a team o Any topic to be made public should be supported by all members and the group should strive for consensus In the event a member does not fully agree on a decision or there is not a mutual consensus there will need to be a level comfort that goes along with that. o Recommendations are made to Terri Stewart and Bonnie Prunty Committee members will try to not take topics discussed personally Keep an open mind o Have a willingness to learn Challenge each other’s thoughts and opinions to ensure well rounded discussions Be engaged o Be mentally present at meetings and ready to participate in conversation Do your homework o Come prepared to meetings o Prepare ideas prior to meetings o Be aware of what is currently going on on-campus and in the community Ensure each department’s voice is represented to engage different perspectives Take committee’s responsibility seriously o Know the impact of your statements Stick to the charge of the committee o Remain focused Acknowledge your own biases Be accountable to your words and actions Speak from your own experience o Use “I” statements Share the discussion/ air time o Provide everyone with an opportunity to share their thoughts Be comfortable talking about the actual issues o Be direct o Be honest Be willing to be uncomfortable o Provide feedback to group members about with you agree or disagree with. If immediate feedback is provided use discretion of what is appropriate and respectful o Address discomfort or concerns with group members prior to next meeting Be willing to engage in these conversations in a timely manner Infuse appropriate humor during announcements o Know your boundaries o Group members discussed wanting to take this seriously and to remain appropriate throughout the entire discussion Remember that every member is working towards the same goal Committee Charge This work group is charged with the responsibility of creating an environment where ALANA students feel safe and respected, and to improve the working relationship between the Office of Residential Life and Office of Public Safety staffs. Specifically the group will prioritize, assess the feasibility of, research, and assist in the implementation of the ideas generated in the two Office of Residential Life and Public Safety staff meetings. The group will provide input regarding the structure of a community review board and the policies and procedures related to the use of body worn camera’s The group will meet weekly during the semester o Frequency can be changed in the Spring The group will report to Terri Stewart and Bonnie Prunty The group will also be able to meet periodically with the President and the Provost to discuss recommendations and key points Questions/Concerns about Committee Charge Meeting times will be every Tuesday from 12:10-1:00pm o Linda will send a list of meeting dates, times, and locations to every group member Research for the body cams and community review board are being done by other groups and offices. This group will not be heavily involved in research. o This committee will review the proposals and help make decisions Each committee member has a reporting structure to follow within their own department. There is not a hierarchy within this committee. How will the reporting process work? o Committee will make recommendations to Terri and Bonnie and it will be up to them whether a proposal is moved forward. o If they do not feel a proposal is ready to go forward to the President and the Provost they will provide feedback to the committee to make edits o Bill and Linda will clarify what the meetings with Terri and Bonnie will look like and who is there. Discussion of ALANA o Not all students feel represented by this (LGBTQ/Women) o Linda will clarify the scope of who this group represents Priorities of Committee Create a safe place/campus for ALANA students and staff o Specific group members feel that this should be prioritized first to reach a wider range of students o Members feel this has a larger impact and has an overarching quality Review brainstorms from meetings and prioritize and identify early action items. Community review board o HR will provide proposal for group review Body worn camera (information will be provided by Public Safety and ITS) o HR will provide proposal for group review Outside company selection lead by Rory and Terri o HR will provide proposal for group review Develop strong working relationship between Office of Residential Life and Public Safety o Many of committee felt that this goal should be prioritized first but after discussion of A, A was determined to be the first priority of the group Agenda for Next Week Members to familiarize themselves with Brainstorm and meeting documents and be prepared to talk about how to move forward
