Federation Officer Descriptions Any Federation Member may be elected as an officer. Only willing members will be considered for officer election. (In other words, you can’t vote someone into an office if they are not present unless that person has agreed to fulfill the demands of the office either in writing or verbally to Extension staff prior to the election.) All officers will be expected to work with all embers and give everyone a chance to participate. They will also share leadership by giving others an opportunity to accept responsibility and develop their leadership ability. Officers are expected to be dependable with completing responsibilities and attending the meetings. Federation officers are also expected to treat all other members, leaders, and parents with respect. President The president will be expected to: Consult with Extension staff ahead of time to prepare for the meeting Notify Extension staff and the vice-president several days ahead of time if going to be absent from the meeting Conduct meetings in a courteous, respectful, and tactful manner Lead by example Make guests and new members feel welcome Assist the other officers in carrying out their assignments Encourage everyone to participate in the meeting and discussions Avoid dominating the meeting by giving too many personal opinions All other related tasks designated by the group Vice-President The Vice-President will be expected to: Consult with the President on plans or work to be done Preside at the meeting in the absence of the president Check the location for proper equipment prior to the meeting Work with Extension staff, the president, and other officers on committees or group activities Assist with planning of programs and workshops All other related tasks designated by the group Secretary The Secretary will be expected to: Arrive at the meetings ahead of time and sit next to or near the president during the meeting Keep notes, secretary’s record, and letters organized and neat Keep an up-to-date listing of the members and check attendance at each meeting Take good notes of each meeting so that business is recorded from beginning to completion Have a neat copy of the minutes of the last meeting to read and have approved by the members, making corrections if needed. Let the president or Extension staff know if unable to attend the meeting so that someone else can be asked to take notes for that meeting All other related tasks designated by the group Treasurer The Treasurer will be expected to: Handle all money matters of the group, with the assistance of Extension staff or parent Keep accurate records of how the money is used and send the University a copy of the reconciled bank statements every month Pay all bills promptly Prepare a summary of income and expenses and present at each meeting as well as the current balances in all accounts All other related tasks designated by the group Publicity Chairman The Publicity Chairman will be expected to: Submit a news release to area media promptly after each meeting Take accurate notes at each meeting for reporting purposes Promote the 4-H program in a positive manner to the public Place advertisements in newspapers and on radio as directed by the Federation All other related tasks designated by the group
