PROPOSAL GUIDELINES
SPRING 2016
***NOTE: THERE ARE 2 APPLICATION DEADLINES: one in
February and another in March. ONLY ONE APPLICATION
CAN BE SUBMITTED PER PROJECT; you cannot apply for
funding in March if you received funding in February for the same
project. ***
Scope and Eligibility of Grants: Pendleton Student Research and Production Grants are open to all
full-time undergraduate students enrolled in the Roy H. Park School of Communications at Ithaca
College. Students may apply for grants up to $1,000. The amount for the grant requested must be
specified in the grant application. Projects may be partially funded, given the competitiveness of the
process and the limited funds available for the grants.
Deadlines:
--The first deadline to submit an application for a Pendleton Student Research and Production Grant
for the Spring 2016 semester is MONDAY, FEBRUARY 22nd at 5 p.m. EST. Applicants will be
notified of decisions on March 4th.
--The second deadline to submit an application for a Pendleton Student Research and Production
Grant for the Fall 2015 semester is WEDNESDAY, MARCH 23rd at 5 p.m. EST. Applicants
will be notified of decisions on April 4th.
All applications must be turned in to the Park School Dean’s Office. Projects must be conducted and
completed by May 13th, and this is also the final date to submit receipts for reimbursement. Spring
2016 projects cannot be funded through this grant since there is a separate grant process for each
semester. Grant applications are available in the Dean's Office, 311 Park Hall.
Definition of Research and Production: The words "Research and Production" are broadly defined
to include such activities as various scholarly research projects, creative writing, photography, and
film and video production. Projects MUST be part of work you are doing for a Park School class
that has faculty supervision. This also includes independent study coursework in the Park School.
These grants may also be used to fund travel to academic and professional conferences to present
research or production.
Projects in the pre-production or preliminary stages of production that will not be completed by
May 13th are NOT ELIGIBLE for Spring 2016 semester grants.
Proposal Package: The proposal MUST include a one-page, typed description of the research or
production project, including what stage the project is at and what the anticipated outcome of the
project will be. In addition, a one-page detailed projected budget listing anticipated or already
incurred expenses related to the research or production project (including funding received to date
from other sources for the same project) must be submitted with the written proposal. An
insufficient budget may detract from the overall quality of the application. The proposal must also
include a faculty recommendation form (attached to these guidelines) for the project and must be
submitted by the faculty directly to the Park School dean’s office no later than MONDAY,
FEBRUARY 22nd at 5p.m. EST for the first round of applications, and WEDNESDAY,
MARCH 23rd at 5 p.m. EST for the second round of applications, in a sealed envelope and signed
by the faculty member along the seal. Finally, a signed copy of the signature page (attached to the
back of these guidelines) must be submitted. So a complete proposal will have all of the
following: 1) a signed signature page, 2) one-page typed proposal, 3) one-page budget, and 4)
completed faculty recommendation form that is in a sealed envelope and signed on the seal by
the faculty member. NOTE: Do not wait until the last minute to request a faculty
recommendation! ANY MATERIALS SUBMITTED IN ADDITION TO THE ABOVE
STATED ITEMS (i.e., scripts, DVDs, etc.) WILL BE DISCARDED.
Other Requirements of Grant Recipients: Grant recipients are required to submit a one-page,
double-spaced typed report on the outcome of their grant project, including a narrative of the project,
outcomes, and itemized budget showing actual grant expenditures. The report should be submitted
to Karen Wheeler, the Financial Operations Manager in the Park School of Communications dean’s
office, by May 13, 2016. All reports will be kept in a file that will be available, upon request, to
faculty and staff for future reference. Failure to submit a final report may affect eligibility for future
Pendleton Student Research and Production grants.
Acknowledgement of Grant: All projects are required to acknowledge the grant in writing within
the credits of the project. If no credits are planned for the project, an acknowledgement must be
made in writing within the project. The correct acknowledgement of the grant is as follows: Ithaca
College Roy H. Park School of Communications James B. Pendleton Student Research and
Production Grant.
Budgetary Guidelines: Pendleton Student Research and Production Grants may NOT be used for
the following purposes:

As salary or payment directly to the student recipient
To hire undergraduate student assistants
To hire other individuals within Ithaca College
To pursue advanced degrees
To purchase capital equipment (i.e., cameras, light meters, computer hardware, etc.)
To purchase software for personal computers
To pay for services and/or items that were not part of the original/approved
grant application.
Pendleton Research and Production Grants are awarded to individuals for items associated with the
cost of a project, such as purchasing supplies, products and services, or travel costs. Services can be
covered as long as the providers are not employed at Ithaca College.
ORIGINAL DETAILED receipts are required as documentation for all expenses, and recipients
must submit a final expense report with the receipts upon completion of the project. Any expenses
incurred above and beyond the original grant amount will not be reimbursed. Any project that
varies drastically from the original approved proposal will not receive funding. All travel
related expenses will be handled in the normal routine manner using Ithaca College travel
authorization and expense report forms, with required signatures.
All receipts must be dated for the College’s current fiscal year and for the timeframe in which this
project grant is awarded (January 25 until May 13, 2016). Also, the College cannot reimburse sales
tax, so that amount must be deducted from all receipts that are submitted for reimbursement (except
when traveling).
Specific questions concerning what can or cannot be funded by Pendleton Research and Production

Grant Review and Selection Process: The Pendleton Grants Committee will review all
applications and make final recommendations to Diane Gayeski, Dean of the Roy H. Park School of
Communications. Applicants will be notified by March 4th of the outcome of their application if
they applied during the first round, and April 4th for applications submitted in the second round.
