What is 25Live?
25Live is a web-based scheduling and event publishing application developed by CollegeNET. As a
fully hosted service, the software provides one centralized scheduling system and data repository
for events held at Ithaca College. 25Live is CollegeNET’s successor product to Resource25 (R25) and
allows individual users to maintain some of their personal scheduling preferences, view event
information, and request the use of space 24 hours a day, seven days a week, from any computer
with internet access.
Who can use 25Live?
25Live can be viewed by anyone who visits the website. Without logging in, the website allows
visitors to view basic event and location information. In order to request a reservation for event
space, users must log into the system with a valid Ithaca College user name and password.

Do I have to use 25Live to schedule events and request the use of College spaces?
Yes. 25Live is the only recognized method for scheduling events on campus.
What browsers are recommended for using in 25Live?
Windows: Mozilla Firefox, Google Chrome
Macintosh: Safari and Mozilla Firefox
Using Internet Explorer is not recommended
Why doesn’t my event show up on the calendar immediately after I submit my request?
Only requests that are approved by the Scheduler are displayed in 25Live. When an event is
submitted, it is sent from the Requestor to the Scheduler as a “Tentative” request. The request is
not "approved" until the Scheduler reviews the request and you receive an e-mail confirmation
stating your space request has been approved.
Does availability automatically mean approval?
No. Availability refers to whether or not a location is open on that date and time. However, the
event itself and the location must be approved by the Scheduling Coordinator before confirmation
can be given.
How long do I have to wait for a confirmation?
Users should receive a response from the designated Scheduling Coordinator within three business
days. If they have not received a response in that time, they should contact the Campus Center &
Event Services Scheduling Coordinator, (607) 274-3313, or at cesreservations@ithaca.edu.
I submitted a request and it was approved, but now I need to make a change. Can I edit my
event?
No.
 E-mail the change(s) needed to the Scheduling Coordinator at cesreservations@ithaca.edu.
If you have any questions, please call 607-274-3313 and ask for the Scheduling Coordinator.
 If you are cancelling a large event (events requiring set up, or anything you think we should
know about) please send us an email letting us know you’ve cancelled the event. Include
the reference number, date/time, and location.
Note: Cancelling an event in 25Live does not automatically cancel requests for additional
services made separately. Requestors must also follow up with the Campus Center &
Event Services office at 607-274-3313 to cancel requested services for an event.
I was able to see the room I want to request on the 25Live site, but when I logged in to submit my
request, I couldn’t find that room anywhere so I couldn’t request it.
All of the spaces in 25Live are available for users to view on the 25Live calendar or availability grid.
However, some of the spaces are not available to be requested for certain users due to a specific area’s
scheduling policies. Therefore, certain spaces may be "hidden" once a user is logged into 25Live. For
example, certain spaces (Costume Shop, Television Studios, etc.) are not available to be requested by
students, so when a student logs in, they will not be able to view the space.

What is the difference between Event Start and Event End time and the Reservation Start and End
time?
Event Start and End:
The actual time your event will begin and end.
Reservation Start and End: This is the entire time reserved for the event including the actual event
itself. See the green bars below for the Reservation Start and End
times.
What is the difference between Setup/Pre-Event and Post-Event/Takedown? How do I add PreEvent and/or Post-Event time to my event?
Setup:
Setup is the time the Campus Center & Event Services office, and other service
providers need to prepare a location for the event requirements. (This time may also
be used to takedown the previous event prior to setting up for your event.)
Pre-Event: Pre-Event is the time you, the client, needs to prepare the location for your event (i.e.
putting out materials, decorating, etc.)
Post-Event: Post-Event is the time you, the client, needs to gather your items from the event to
take with you.
Takedown: Takedown is the time needed for providers to remove the required elements of an
event. (This time may also be used to set up for the next event in that location.)
NOTE – The Setup/Takedown time is always put in by the Scheduling Coordinator and the PreEvent/Post-Event is always put in by the person requesting the room location. (cont.)

To enter Pre-Event:
1. Click on the “Yes” radio button.
2. Enter in the amount of time you need in days / hours / minutes prior to your event.
a. In the green line at the bottom of this box, you will see the Reservation Start time changes.
To enter Post-Event:
1. Click on the “Yes” radio button.
2. Enter the amount of time you need in Days, Hours, Minutes after your event.

Why does 25Live seem to be running/loading so slowly?
25Live is a complex application that could potentially be accessed by thousands of people
simultaneously. Speeds can vary based on your network connection, available bandwidth, number
of users on the system and various other factors. Using the system involves searching thousands of
location, resource, organization, contact and event records to deliver the most accurate information
in real time. The browser used to access 25Live can also affect the site's performance. We strongly
encourage users to use Mozilla Firefox, Google Chrome or Safari, and not Internet Explorer.
