Accessing and Navigating the Staff and Administration Online Performance Review Process 1. Log into Parnassus by entering your username and password, then click the login button. 2. First click on “IC Performance Review” to the left (under Main Menu), and click on “IC Performance Review” just below. The “Process Overview” page is displayed. This page provides a summary of the online process and the timelines associated with the Performance Review Process. 3. To begin the process click on “Continue to Performance Review” displayed at the top right side of the page. The “Performance Review -- Organization Summary” page will then be displayed. This page display provides a list of departments and a summary of the performance review progress. You will have access to the performance review information for those employees who report to you, as well as employees who report to those whom you supervise (if applicable). To access the actual performance review form, click on the Organization name displayed on the left side of the page. 4. To complete the performance review form for each employee you will need to click on the “Performance Review” link to the right of the individual’s name. 5. The performance review form will be displayed for the individual selected. Enter your comments, examples and feedback for each of the performance areas in the textboxes provided. The textbox will automatically expand as you type. You will be required to choose a rating for each of the performance areas. The ratings are as follows: Improvement Needed, Opportunity for Development, Meeting Expectations, Meets and Exceeds Expectations, Consistently Exceeds Expectations. 6. Click on the [Save] button. This will save the performance review and allow you to return to it later to be completed. The status on the “Performance Review -- List Employees” will change to “Started – Not Submitted.” Accessing and Using the Annual Review Increment Worksheet Page 1 of 3 7. Once you have completed the performance review form, click the [Submit for Review] link at the top or bottom of the form to save the performance review. At this point you may include a comment to your supervisor (next level supervisor) in the “Submit For Approval” box. Click [Continue] at the top right of the Performance Evaluation/Feedback Review form to submit it to the next level supervisor for review. 8. Once you have submitted the performance review to the next level supervisor, the status on the “Performance Review -- List Employees” will change to “Submitted” and under “Approver” the next lever supervisor’s name will be listed. 9. The next level supervisor will receive a workflow notification indicating the performance review has been submitted for review. 10. The next level supervisor will be able to open the workflow notification and will select “Approve,” “Return for Correction” or “Reassign.” If the next level supervisor selects “Approve” or “Return for Correction,” the performance review will be sent back to the first level supervisor for updates if required. A workflow notification will be sent to the first level supervisor. The next level supervisor has the opportunity to submit a comment that the supervisor and/or the employee can view. 11. The “Performance Review -- List Employees” page will change to two yellow boxes -- meaning the performance review is pending release to the employee from the first level supervisor. 12 The first level supervisor should then meet with the employee to discuss the Performance Review. After the meeting, the supervisor will forward the performance review to the individual for review and acknowledgement by clicking “Send to Employee.” Accessing and Using the Annual Review Increment Worksheet Page 2 of 3 13. The ‘Performance Review -- List Employees’ page will change to one yellow box and one green box -- meaning the performance review is pending the employee’s acknowledgement. 14. The employee will receive a workflow notification, and is required to acknowledge the performance review. The employee will click on the subject to open the performance review. The employee has the opportunity to include a comment. The employee will then click the Acknowledge button on the next page that is displayed. 15. Once the employee has acknowledged the performance review, the performance review process is complete. The document will then be electronically attached to the individual’s record in Parnassus and will be accessible by the employee through IC Employee Self Service. The form will have the electronic signatures of the first level supervisor, the next level supervisor and the employee. 16. Logout of Parnassus when finished.
