They are based on the employees’ appointment type (Graduate Assistants may not release time). For audit purposes, when releasing an employee’s time from a Sponsored Project, please show your calculation on the IDR. Here are the calculation formulas. Released Time and Cost Share 1. The calculation is based on the monthly salary for any given month. 12 month (calendar) appointments: monthly salary should be calculated by dividing the annual salary by 12. EXAMPLE: Research Scientist Y (calendar year) makes $48,000 per year and is paid from an Appropriation Budget and the actual fringe for the month of March was $1,386. Research Scientist Y expended 15% of March effort on a sponsored project. Monthly rate x % of effort $48,0000 12 x 15% $1,386 x 15% = Amount to be released = = $600 $207.90 9 month (academic) appointments: monthly salary should be calculated by dividing the annual salary by 9. EXAMPLE: Professor X (academic year) makes $67,500 per year and is paid from an Appropriation Budget and the actual fringe for the month of April was $1,968. Professor X expended 12% of April effort on a sponsored project. Monthly rate x % of effort = Amount to be released $67,500 9 x 12% = $900.00 $1,968 x 12% = $236.16 2. Fringe benefits are allowable charges. Due to Federal Regulations the actual fringe must be calculated to be released. The total fringe for a month multiplied by the percentage of effort released will give you the allowable fringe. Supplemental pay should also be calculated using the monthly rate. The months of May and August can incur up to 50% of the monthly salary. June and July can incur up to 100% of the monthly salary.
