RESPONSIBILITIES
The Finance and Membership Manager is responsible for finance and benefits administration,
bookkeeping, and managing the membership program for The Arboretum at Flagstaff. The
Finance and Membership Manager supervises and manages the work of the Finance
Assistant/Facility Rentals position.
Finance and Benefits Administration
Oversee the financial database (QuickBooks), reconcile accounts, generate payroll, track
assets, create reports and projections, and help to develop an annual operational budget. The
Finance Manager also assists with the annual audit, working with a third party CPA.
 Provide financial reports to Executive Director and Board as needed.
 Submit annual reports such as the Corporation Commission annual report, Charitable
Organization Registration, Annual Sales Tax report, Affidavit for Tax Exemption, IRS Form
1096 and related Forms 1099. This position is also responsible for vehicle registrations at
DMV since renewals require authorization to request tax exemption on vehicle taxes.
 Assist with research grant billing, and supply reports as needed.
 Distribute and enter timesheets, adjust payroll information, generate payroll, administer
payment of payroll taxes, and quarterly and annual payroll tax filings.
 Research corporate liability concerns and issues, provide annual workers comp audit
information to insurance provider, file claims as needed, oversee renewal of liability
insurance
 Manage group health insurance enrollment
Membership
Ensure that all membership requests are fulfilled, renewal requests are sent out, and reports
provided as needed.
 Daily correspondence as related to membership
 Responding and tracking community requests for membership donations.
 Ordering supplies as needed

Bookkeeping
Manage A/P and A/R and keep filing and systems organized and updated. Process deposits.
Ensure that internal controls are followed.
EDUCATION AND EXPERIENCE
Required:
 College degree
 Minimum three years experience in payroll, bookkeeping and basic accounting
Preferred:
 Membership experience
KNOWLEDGE, SKILLS AND ABILITIES
 Expertise in QuickBooks, Excel, and Word
 Superior organizational, quantitative and communication skills
 Ability to supervise the work of others
