University Advancement, and the Office of Legal Affairs Student Office Assistant This position performs a variety of duties in support of University Advancement and the Office of Legal Affairs, which includes receptionist duties for the office suite. Incumbents will need to possess a high level of professionalism, and use business vocabulary, tact, discretion and judgment. Qualifications: Proficient skills in Word, Excel, and Outlook Excellent writing skills and the ability to communicate well Able to develop and maintain effective working relationships Able to work in a fast-paced environment with frequently changing priorities, and promptly respond to calls and emails Analytical Able to work independently and take charge of a project after being trained Job Description: • • • • • • • • • Maintain Legal Files (an electronic filing and document management system), open files, and process filing. File and cross-index documents and correspondences alphabetically, numerically, or by another prescribed method. Compose routine correspondence and memoranda. Sort and distribute incoming mail. Maintain confidentiality of office information and work products. Operate copiers, calculators, personal computers, fax machines, or other basic office equipment. Maintain supplies by checking stock to determine inventory levels; order, verify receipt, and restock supplies. Answer phones, reroute calls to appropriate individuals, and greet office guests warmly and professionally. Assist with meeting preparations.
