Casual Administrative, Professional & Managerial staff – Guidance for
Casual Engagement
1. Casual APM staff
Individuals within this family working in the Schools/Departments in the Faculty of Arts 1
are engaged for the provision of a range of services in support of the staff, students,
systems and resources of the University and of the wider public. The work may involve
administrative support, specialist advice, data and information management, project
management, or the development and implementation of systems or policy; contacts
with internal and external customers, and with external suppliers, are a common
feature.
2. Rates of Pay
Rates of pay are benchmarked against the University’s salary scale at the first point of
the appropriate level. Pay rates for casual APM staff will therefore depend on the level at
which the role is positioned.
Please find current rates of pay in the ‘Casual staff – Rates of Pay’ document. These pay
rates will reviewed each year.
3. Travel expenses
Travel expenses are paid in exceptional circumstances only, after approval from the
Dean of the Faculty, granted in advance of the casual engagement. Approval process:
the member of staff wishing to pay the travel expenses should email a brief rationale to
the Dean. No action should be taken until a response is received.
4. Engagement
An APM casual engagement will be administered through either Unitemps, located within
the Careers and Employability Service at the University, or the University’s HR unit.
Once the Department/School/Faculty has informed the casual APM worker of the details
of the work and the administering unit, the individual is required to register. We are
unable to pay casual workers who have not completed the relevant registration process.
If the engagement is through Unitemps, please visit its office on B Floor, Portland
Building, University Park, with proof of eligibility to work in the UK. You will also need to

provide bank details in order for Unitemps to set up a payroll number. Once the
registration process is complete Unitemps will issue a letter of engagement.
If the engagement is through HR, you will need to complete an online registration form
and visit the School Office to present your eligibility to work in the UK documents (e.g.
passport). To complete your registration HR will contact you to request your bank details
to complete your registration before issuing a payroll and casual assignment number.
5. Self employment
Self-employed individuals will be paid on receipt of invoice in line with University practice
and timescales. However, the fact that an individual is registered for self-employment
does not mean the engagement with the University is one of self-employment. Please
speak to the School Office who will submit a non-employment status application form to
HR for secondary assessment and authorisation.
6. Casual assignment
A casual APM assignment consists of administrative, professional and/or managerial
work within one Department/School/Faculty. If a casual APM worker has been given
work on two or more projects in two or more Teams/Departments/Schools the work will
be presented as separate casual assignments.
7. Claiming payment
Casual APM workers will claim payment through Unitemps by completing a weekly
timesheet for each casual assignment. Payment is made on the penultimate working day
of the month.
