CAMPUS MEMO DATE: February 15, 2016 TO: Student Organization Presidents and Advisors FROM: Tara Benson Associate Director Plaster Student Union and Director of Student Engagement RE: Student Organization Office & Storage Space As the end of the year approaches the time has come to allocate student organization office space and lockers. The Mary Lou Bilsborough Student Organization Office Complex has shared offices that are nicely furnished and offer student organizations unique visibility and presence on campus. We will be taking applications for office and locker space (located in the Student Organization Office Suite). All active, recognized Missouri State student organizations are eligible to apply for space and ALL ORGANIZATIONS DESIRING SPACE MUST APPLY EVEN IF THEY CURRENTLY HAVE AN OFFICE IN THE UNION. Applications for office space are due by 4 p.m. Monday, February 29, 2016 in the Office of Student Engagement (Room 101). Please hand-deliver all applications. If you have any questions, please do not hesitate to contact Cyndi Warnow or myself at 836-4386. Attachment Plaster Student Union Student Organization Office Policies I. Assignment A. All student organization office space at the Plaster Student Union will be assigned by the Plaster Student Union Office Space Committee. B. All student organizations applying for office space must be registered with the Office of Student Engagement, and considered to be of active status. C. Registered Missouri State student organizations will be notified by email and by mailbox of the availability of applications for office space. The applications will be available online on the student organizations web page at http://www.missouristate.edu/studentengagement/forms.htm, in the Office of Student Engagement, PSU 101 or at the Plaster Student Union Information Desk. Eligible organizations must submit applications by the specified due date to the Office of Student Engagement, Plaster Student Union room 101. D. Office space will be assigned by the Plaster Student Union Office Space Committee based on the priority categories listed in Section II, and the following considerations of the student organization’s need and service to the campus: II. Type of campus-wide programs and activities. Level and scope of programs, services, and activities held in a given year, and approximate number of persons served or in attendance. Specific needs requiring office space, work space, equipment setup, etc. Frequency of office use in the past year and anticipated future use (for organization business). E. Appeals to office assignment decisions should be made in writing to the Director of Plaster Student Union within two weeks of notification. Decisions made by the Director will be final. F. Space assignments normally terminate, subject to reassignment, on the last day of classes in the spring semester. Organizations must submit a new application to the Plaster Student Union each year for reassignment of office space. Assignment Priority Categories A. Category A is reserved for the following organizations: Student Government Association Panhellenic Association Student Activities Council Interfraternity Council National Pan-hellenic Council These organizations will be given first priority to be assigned space at the Plaster Student Union, provided each submits a completed application packet. III. B. Category B is reserved for student organizations, which provide services to the entire campus community. These groups can be cultural or educational whose programs and activities appeal to a diverse population, and whose members make outreach efforts beyond their particular interest groups, to educate and involve others in those activities. C. Category C is reserved for organizations, which represent the daily interests, and needs of a specific cultural, racial or national group, or which provide special interests, professional/academic, recreational, or vocational programs primarily for their members and those of like interests. Occupancy Agreement Each assigned student organization will be required to read and sign the “Occupancy Agreement for Student Organization Space.” Failure to sign and return this agreement by the designated due date may result in the revocation of the assigned office space. Monday, March 14, 2016 Assignment decisions made in meeting with: Cyndi, Tara, SGA, SAC Wednesday, March, 14, 2016 Notifications made. Thursday, April 21, 2016 Mandatory meeting for all groups who receive office assignments. An officer must attend and occupancy agreements will be completed at this time. PSU 313 (Parliamentary Room) 10-11:00am Thursday, May 5, 2016 Student organizations not assigned space for 2016-2017 must clean and vacate office space by this date. This includes returning office desk and/or locker keys. Monday, June 6, 2016 Student organizations allocated office space for 2016-2017 may move into offices.
