MANDATORY PRE-BID CONFERENCE
Date: Wednesday October 29, 2014 @ 9:00 am
Meeting Location: Meet at 301 High Street Parking Lot (Davison Art Center), Middletown, CT 06457.
Contractors may park on High Street or Washington Terrace or abutting public streets.
PROJECT DESCRIPTION:
The scope of work for this project includes but is not limited to new wall installation, insulation, carpet
replacement, acoustic sound panel repairs and recovering, painting, signage and all prep work required for the
installation of new acoustic doors. Acoustic doors shall be purchased by the Owner and installed by others.
Contractor coordination and adherence to construction schedule.
BID DUE DATE / BIDDER SELECTION / CONSTRUCTION SCHEDULE:
Bids due: November 10, 2014 @ 2:00PM
Post bid interview/bid review: November 11, 2014
Selection of successful bidders: November 12, 2014
Work to be performed during the winter break
Abatement (by others): December 17 – 19, 2014
Construction Start Date: December 22, 2014
Acoustic Door Installation (by others): January 12, 2015
Project Completion Date: January 15, 2015
Piano moved back into room (by others): January 16, 2015
Student Early Return: January 17, 2015
BID DOCUMENTS:
Scopes, drawings and photos will be available and posted on the major maintenance website prior to the pre-bid.

Contractors are required to bring a copy of the bid documents with them to the pre-bid conference.
Documents will not be provided at the pre-bid.

The mandatory pre-bid conference will be conducted with all bidders and subcontractors on the dates, times and
locations noted above. All additional site visits shall be arranged through the Construction Services office and are
encouraged. Bidders are required to become fully aware of existing conditions. Bidders that do not attend the prebid conference will be disqualified from bidding.
BID SUBMISSION/CONTRACTOR AWARD:
SEALED bids will be accepted at the facilities office, 170 Long Lane, Middletown, CT 06457 on the date noted
above, at which time they will be opened privately. All bids must be forwarded to the attention of Roseann
Sillasen. Bids submitted after this date and time may be rejected at the sole discretion of the University.
The successful bidders will be notified in writing and will be required to attend a scope review and pre-award
conference at which time the bidder’s bid will be reviewed. The University may conduct a scope review with other
responsive bidders.
The University reserves the right to reject any or all bids, in whole or in part, to award any item, group of items, or
total bid, and to waive any informality or technical defects, if it is deemed to be in the best interests of Wesleyan
University.
BID QUESTIONS:
All VALID bid questions must be submitted by email or in writing to Roseann Sillasen, rsillasen@wesleyan.edu at
the facilities office, fax (860) 685–3101.
Bid questions will not be accepted beyond 12:00 PM on November 6, 2014. All bid questions and responses will
be distributed to all bidders.
SPECIAL NOTICE TO BIDDERS:
1. Bidders shall promptly notify the University of any ambiguity, inconsistency, or error, which they may
discover upon examination of these Contract Documents. Additionally, any ambiguity, inconsistency, or
error, which may be discovered upon examination of these Contract Documents, shall not be cause for claim.
2. Offices will be occupied.
3. Buildings surrounding the project areas will be occupied.
4. All contractors must submit verification of RRP with their bid.
