Performance Evaluation Performance Evaluation Supervisors guide to completing employee performance evaluation 1 Revised 12.16.15 Logging In Hiring Managers Log in: https://employment.blinn.edu/hr/sessions/new Log in with your network username and password. If you do not remember these credentials, you may contact the help desk at extension 4357. On the right hand side click on Go to Employee Portal Under Your Action Items, you will see the Annual Reviews assigned to you. Click on the Blue wording “Plan” under the title Description, or you can click the blue view button. 2 Revised 12.16.15 The Plan Here you will see the Job Success Factors. This section is “view only” at this step. It is here for you to review and start thinking about the employee’s performance and to let you know what factors are being utilized to rate the employee. Please review the job success factors prior to going forward. *************** Don’t forget to add your co-reviewers now ************** Next click on the Last Periods Goals. If your employee had a faculty evaluation in 2014 their goals should be present. You will have the option to make any changes to their goals. Both the supervisor and employee must be aware if any changes to goals are to be made. If you have a new employee their “Last Periods Goals” will be left blank. 3 Revised 12.16.15 The Plan (continued) Once you have checked the last periods goals, click the save draft button to save your work. This section is for entering the goals only. You will rate the employee on these goals in a later tab. 4 Revised 12.16.15 The Plan (continued) Once you have checked last period’s goals, click the complete button. If you realize you made a mistake on the last period’s goals, you can click the Action button then hit Revise. It will then take you back to the page to make your changes. 5 Revised 12.16.15 Supervisors Evaluation In this section you will have four tabs: Job Success Factors –rate the employees with comments Goals – rate the employee on their last period goals Future Goals – enter future goals for the employee Attachments –professional development forms. To complete the next step, look to the left hand tool bar and you will see the Supervisors Evaluation tab. Click this tab. Document evaluations by providing comments on performance which briefly describe the accomplishments and justify the level of evaluation. For each defined element of job performance, select the appropriate appraisal rating from the drop-down. The appraisal of each element of job performance should be followed by comments explaining the rating and recommending specific areas of improvement or development if necessary. 6 Revised 12.16.15 Job Success Factors Ratings: 1 = Unacceptable Unacceptable performance as outlined in Faculty Responsibilities document in one or more of the areas below: • Inadequate performance of faculty responsibilities to students; • Inadequate performance of responsibilities to division and department • Inadequate performance of one or more duties to college • Did not address personal professional objectives as outlined in self-evaluation document for current year, or did not provide a self-evaluation document Guidelines: very few faculty at the college should receive this rating; faculty member must respond to this rating, and supervisor should begin corrective action. 2 = Needs Improvement Limited performance of duties as outlined in Faculty Responsibilities document in one or more of the areas below: • Faculty responsibilities to students • Faculty responsibilities to division and department • Faculty duties to college • Personal professional objectives as outlined in self-evaluation document for current year Guideline: very few faculty at the college should receive this rating; faculty member should respond to this rating, and supervisor should consider corrective action. 3 = Proficient Satisfactory performance in all areas outlined in Faculty Responsibilities document. • Meets all responsibilities to students, • Meets all responsibilities to division and department • Meets all responsibilities to college • Addresses successfully own professional growth plan as outlined in self-evaluation 4 = Very Good High performance in all areas outlined in Faculty Responsibilities document: • Consistently strong, above average address to student, division, department, and college responsibilities as outlined in Faculty Responsibilities document • Meets and exceeds own professional growth plan as outlined in self-evaluation. 7 Revised 12.16.15 5 = Exemplary Exceeds expectations in all areas outlined in Faculty Responsibilities document: • Made noteworthy contributions to student, division, department, and college • Established and exceeded own professional growth plan as outlined in self-evaluation Guideline: Few faculty members will likely receive this rating; it is reserved for those who clearly perform above and beyond the stated requirements. __________________________________________________________________________________ Under each job success factor use the rating above to rate the employee on their performance over the last year, then enter a comment. Continue through each job success factor until you reach the bottom of the page. At this point, you can save your work or continue to the next page. 8 Revised 12.16.15 Last Periods Goals The last period goals you entered on the Plan section will roll over for you to rate the employee on these goals. For each last period goal, choose the appropriate rating and enter a comment. When done, either click the save draft button or the next button at the bottom of the page. 9 Revised 12.16.15 Future Goals Enter the performance goals for the next period to be evaluated. Individual goals and objectives should align with those of the department and the campus. Progress toward meeting these goals will be reviewed at the time of the next evaluation. Enter the future goal in the field provided and how you will measure the success of this goal in the measure of success field. Click the add entry button if you have more than one entry to enter. Otherwise click the save draft button. NOTE: Once you click the complete button, you will not be able to make any changes to supervisor’s evaluation section (this includes the job success factors, last period goals or future goals.) 10 Revised 12.16.15 Attachments In this section, you can attach any supporting documentation as to why you rated a job success factor. If you attach a document, it will appear as below, and gives you the option to attach more than one document, if needed. 11 Revised 12.16.15 Final Step Before you complete the evaluation, you should meet with your faculty member. Click back on the future goals tab, and if you are completely finished with this employees evaluation and do not need to make any future additions or edits, click the complete button. NOTE: Once you click the complete button, you will not be able to make any changes to supervisor’s evaluation section (this includes the job success factors, last period goals or future goals.) After you hit complete, the employee will then log into the system to review and acknowledge the evaluation. You will be able to see if the employee and reviewing officer has acknowledged the evaluation by going back to the employees review, clicking on History. 12 Revised 12.16.15
