How to Review (Approve or Deny) an Online Grade Change
Department Chair/Dean Procedures
1. Upon grade change submission, an automatic email will be sent.
2. The department chair or dean then logs into WINS and clicks on Worklist in the upper right of the screen.
3. In the Worklist, any pending grade changes for ready for review will appear, with the most recently submitted
appearing by default with a 3-low priority and the most recently submitted at the bottom.
4. If desired, the priority can be set to 3-Low, 2-Medium or 1-High. Click on the “Priority” at the top of the
column to reorder the grade changes according to the priority chosen.
5. Click on the link to be brought to the Grade Change Approval page.
6. Review the grade change information and click on Approve or Deny. If approved, the form will be sent to the
next step in the workflow. If denied, the instructor will be sent an automatic email.

7. Approvals or Denials will be clearly indicated in the workflow at the bottom of the page.
8. The Registrar’s Office will also receive an email when a grade change is approved. Once processed, the
instructor will receive an automatic email for confirmation.
FAQ’s


How will WINS know where to send the approvals in the workflow?
o The academic organization table holds one field for the chair and one for the dean for each academic
organization. This table will designate workflow approvers and is automatically forwarded by WINS
based upon the grade change term and type of grade.
What if there is more than one chair for a department?
o Currently, there is only one chair allowed per department. For General Education courses, for
example, where there are more than one approvers based upon content, the Grade Change processor
in the Registrar’s Office will be listed as chair and the appropriate chair will be manually added to the
workflow.
