Holiday Schedules: While December 24 is considered a closure, please remember that departments are
expected to have coverage that morning until the official closure starts at 12:00 noon. The official
closure times are 12:00 noon through 11:59pm.
In addition, departments are to remain open during the business hours of Monday, December 28th
through December 31st, or make prior arrangements for coverage of phones and visitors with another
department. If coverage is agreed to by another department, please be sure your department phone is
transferred and visitors are instructed who to contact, and where, by a sign on the door.
December 15 paycheck:
1. Open enrollment insurance changes: Dec. 15 check is the first check that employees will start to
pay for any insurance they enrolled in or changed levels of coverage during open
enrollment. Insurance premiums are paid a month in advance so the December checks pay for
January coverage.
2. Life insurance age changes (both State Life & UND Life): Dec. 15 check will have the new
supplemental life insurance rates for anyone who changed age brackets during the last
year. Age brackets are 30-34, 35-39, 40-44, etc. Rates are only changed in December for the
next calendar year.

Delta EDP: The Delta EDP (Employee Discount Program) link for the Delta Airlines discount program is
now back up and working in Employee Self Service (ESS). Delta EDP is a North Dakota University System
discount program for Delta flights booked. Using the link in ESS, employees are able to receive a 2%
discount on most classes of airfare. Depending on usage of the program, Delta may apply a deeper
discount in the future.
PPE 12/15/2015 (December 31st check): This is the final check for the 2015 calendar year. It is very
important that all info is submitted on time, if not early, because of accurate W-2 reporting.
Use or Lose Leave Balances: Please remind your employees they only have until 12/31/2015 to use
these balances, or they will lose it. Leave slips are due January 4, 2016 for PPE 12/31/2015 (January 15th
payday). The last day to submit any leave taken in the calendar year 2015 is Friday, January 8,
2016. Any 2015 leave submitted after this date will be taken from your 2016 leave balances. Please
keep in mind that employees that did not use a minimum of 40 hours of Annual Leave (except
employees hired in 2015), or had an Annual Leave balance in excess of 240 hours (prorated for parttime), will see their Annual Leave balance reduced on the January 29th paycheck to meet these
requirements.
Manager Self Service (MSS) Hires: All departments should be submitting hires through MSS starting
January 1 if they haven’t already started. If you are a person that hasn’t had any training yet, please
contact Joanne at 777-2156 to schedule training.
Position Funding Forms: When submitting Position Funding Forms please send them directly to the
Budget Office at STOP 8233 or Twamley Hall, Room 414. This will eliminate any further delay in
processing.
Campus Address Format in MSS: When entering hires into MSS please be sure the format for campus
address is entered correctly. The phone number should also be the employee’s campus phone number.

Functional Title (does not self-populate for student and temp positions).
Whether hire is transferring from another position (ask each new hire).
If new hire has worked at a State Agency, within NDUS, or at UND within the last 12
months list how many hours worked if known or N/ A if not applicable (required for ACA
purposes).
