LEARNING RESOURCES UNIT COUNCIL
September 18, 2012
Present: Director Grigsby, Sheryl Kunisaki, Don Brown, Alice Cornelio, Lisa George, Moon Ichinaga, Ed
Martinez, Noreth Men, Rebecca Wilson, Howard Story, Claudia Striepe, Susan Djokic
May meeting was cancelled. Last Learning Resources Unit Council Meeting held April 2012.
Student ID Cards
Discussion on student ID cards continued from LRU Flex Day Faculty & Staff Meeting.
 El Camino College does not have an official policy on retention/disposal of student ID numbers
in system.
 ITS does not eliminate, nor make inactivate, former student ID numbers.
 A student ID number is required to order transcripts online. (ECC uses private company,
Credentials Inc., to fulfill online transcript requests.)
 Currently more than 160,000 student ID numbers in system.
 Results of survey of other community colleges regarding student ID numbers: all those
contacted have cut-off active dates for ID numbers. Some one semester after last enrollment,
others only five days after last enrollment. (Survey results have been sent to Information
Technology.)
It was concluded that the problem of noncurrent students using the Library’s resources is minimal so the
Library will stop requesting student ID cards for access to services. The Library will however request
student ID cards where there is an exchange for product or a need to know that the patron is a student
in order to receive services. Examples:
 To reserve study rooms
 Check out equipment (headphones)
 LRC tutoring services
 Basic Skills Study Center
 LMTC
Librarians will review signs near computers at Reference and decide (if requires) new wording. Director
Grigsby will send formal request to ITS regarding removing/making inactive ID numbers of noncurrent
students. Final thought on student ID cards: It is not just an LRU issue; it is a whole campus issue. The
issue will need to be forwarded to the Campus.
Friends of the El Camino College Library
Friends of the ECC Library was started to help promote/support the Library and to be able to channel
donations. Over time Friends have been given privileges to many library services including: checking out
books, use of computers, access to databases, tutoring. Is this too much access? LRC has students
waiting for tutoring services, the Library’s database contracts have maximum user allowances,
computers being used by Friends are not available to students.
Ed would like to create new policy and benefit guidelines for Friends.
 What services should be available to Friends of the Library cardholders?
 Is the annual fee for card too low? (currently $25.00)
More thoughts: compared to other academic libraries and the benefits offered Friends cardholders the
price of an ECC Library Friends’ card is inexpensive. Alumni are also beginning to expect the same
services offered Friends. Current students pay $46 a unit to attend class/receive library card. But then
Friends are good/considerate library patrons. (It is a separate issue, but to note: Affiliate cardholders
(students auditing a class) are not given database access.)
Group (Ed, Claudia, & Sheryl) will continue to evaluate current Friends’ privileges and make
recommendations. Please direct further thoughts on issue to Ed.
Planning Due Dates
September/October is the LRU’s review-update and the time to place any new items on the Plan Bill.
Each of the four departments has a separate Plan Bill document. Will discuss further at next Unit Council
Meeting. (Plan Build will be on the agenda.) Plan Build Review and Refresh Workshop will be held Wed.,
September 26.
Policies Update
Discussion on Library Policies also continued from LRU Flex Day Faculty & Staff Meeting.
Topics on LRU Policies and Procedures document passed out with answers/discussion points covering
first half of topics. Further discussion on polices were held.
Highlight of one topic:
 What is the policy on food and drinks in the Library?
Food is not allowed in the Library. And to be consistent staff should not openly carry in food. Staff
should conceal lunches in bags. Memo will be sent to staff/student employees.
Why are students freely eating in the Library? There is nowhere else to gather and eat on campus.
Director Grigsby will email all an updated version of Topics on LRU Policies and Procedures with all policy
and procedure points answered. If there are any concerns regarding the policies as set, staff can have
further dialog.
Other
 Program Review: will talk about at next Unit Council Meeting.
 N. Men shared a few highlights from the Technology Committee Meeting: Help Desk will change
from call-in to electronic requests; ECC assessing moving from Outlook to Gmail; ECC working on
making entire campus Wi-Fi accessible.
 Director Grigsby will check if Compton Library offers reference service by telephone.
Unit Council Meetings held 3rd Tuesdays of the month. Next meeting Tues., October 16, 2012.
