Division Council Meeting Minutes
Wednesday, May 28, 2008
9:30 a.m. – 10:30 a.m.
Division Updates
Appointment Center – L. Perez
Appointments are filling up very quickly and are more difficult to obtain. Appointments are
scheduled one week in advance. On Mondays, the Appointment Center begins scheduling
appointments at 8:00 a.m. and by 1:00 or 2:00 p.m., all appointments are filled. The Appointment
Center will open up more appointments on Thursdays for special programs counselors. According
to Lisa Perez, Web Q & A online counseling is doing well. It is a program for counselors and
advisors designated to answer e-mails.
Adult Re-Entry – Y. Dawson
 The wait list for Adult Re-Entry is still open for the fall semester.
 Book Vouchers will be issued this summer for students currently in Adult Re-Entry
program.
 Yolanda Dawson is planning to meet with Bill Mulrooney regarding priority registration for
Adult Re-entry students.
Matriculation – M. Hernandez
 Orientations are being scheduled. Advisors provided MyECC presentations at the end of
orientation workshop so that students know how to access MyECC online.
 Maribel Hernandez distributed MyECC flyers to staff and will distribute them at the
Counselor’s meeting. This flyer explains how to access MyECC.
 Flyers for MyECC were distributed to Express Counseling, Appointment Center, and Career
and Transfer Center.
New Student Welcome Day – M. Hernandez
 New Student Welcome Day will be held on August 20, 2008, from 8:00 a.m. to 2:00 p.m.
A meeting is scheduled for June 3rd to discuss this upcoming event.
 Maribel Hernandez distributed a form called, “3rd Annual New Student Welcome Day
Registration Form” to staff. This form will be available on the website for students to
register online for this event. As soon as the event is over, the data will be input into SARS
in order to receive credit for the event.
 Dr. Smith will follow-up with Arvid Spor regarding New Student Welcome Day t-shirts.
 Copies of Matriculation Steps in Spanish will be distributed at the Counselors’ Meeting.
These flyers will be at the Information Desk, Express Counseling, Appointment Center,
Career and Transfer center. It was suggested that student services programs and
matriculation steps in Spanish be uploaded into Power point presentations for the plasma TV
located in the Welcome Center.

Athletics – C. Jeffries
 Chris Jeffries is providing orientations for athletic programs
 Women’s volleyball team was awarded the Pepsi Scholarship Team Award by the State for
having a 3.0 or higher GPA.
SSTARS – B. Jackson
 Advisory Council Breakfast Meeting will be on June 12th from 7:30 a.m. to 10:00 a.m.
 Harold Tyler and Nancy Fong will co-chair SSTARS next year.
Puente – G. Castro
 A total of 16 students from Puente 19, 20, 21 were accepted to various universities.
 End of the Year Celebration is on May 29th in the East Dining Room Cafeteria from
5:00 p.m. to 8:00 p.m.
 Puente students went to the Northern California University Tour with the Transfer Center;
the Great Wall Tour in Los Angeles, toured UC Santa Barbara, Museum of Tolerance in Los
Angeles, and attended the Motivational Conference at UC Irvine.
Project Success – B. Mims
 Project Success Awards Dinner raised $510.00 and awarded 11 scholarships.
 Movie Day is being planned for this summer for Project Success students.
 Dr. Smith reminded all coordinators that New Student Welcome Day orientation is
mandatory for all support programs.
Student Enhancement Program (SEP) – G. Castro
 Griselda Castro stated that the Reinstatement Committee is currently in the process of
revising letters to students who are on dismissal status. Revised probation letters are
expected to be ready by June 13th.
Special Resource Center – C. Pajo
 Retirement party for Ray Lavell is May 28th from 3:30 p.m. to 5:00 p.m. in the Special
Resource Center.
Transfer Center
 Spring Tours are completed for this semester. CSU Long Beach tour had 40 students.
 There were over 250 students who attended the Transfer Conference last May 2nd; many
raffle prizes were awarded at the fair.
 Theresa Barragan assisted with High School Senior Day with Transfer Workshop.
 Blanca Prado and Theresa Barragan attended a workshop on how to make accessible flyers
for SRC (Special Resource Center) students. They also attended Ensuring Transfer Success
Conference in Irvine.

UC Admit Reception was held yesterday, May 27th in the East Dining Room. A total of 43
students/guests attended the reception. University Reps gave a “next step” orientation to
students. Dr. Smith will sign certificates for students admitted to the universities.
CSU Admit Reception is today, May 28th in the East Dining Room. Brenda Jackson
suggested that student with a university admit letter receive a gift.
EOP&S – B. Jackson
 EOP&S Awards Banquet was held last May 9th at the South End Racquet Club in Torrance.
 Last April, EOP&S counselors provided personal development and education workshops for
students. Brenda Jackson and Linda Massarotti provided Success Workshop for probation
students.
 Twilight Ball Fundraiser raised over $7,000.00 for EOP&S/CalWORKs students.
 EOP&S are accepting new applications for EOP&S students.
 Nelson Espinosa and Dexter Vaughn are the new full-time EOP&S Counselors.
FYI – Dr. Smith
 There was a motion to move and approve the Division’s Program Review. It was
unanimous.
 Dr. Smith announced that in June everyone must update their Accomplishments and Issues
Planning report.
 Dr. Smith reminded advisors to walk the line at the Drop-in counseling area as a daily
routine. Advisors need to revise their hours in order to cover Career and Transfer center
 Adjunct faculty are not eligible for re-assigned time.
 Dr. Smith sent an e-mail to program coordinators regarding the application process to
request additional funding to support their programs. The deadline is June 30th.
 Dr. Smith reminded faculty that their Flex obligation needs to be met.
