ADMINISTRATIVE PROCEDURE MANUAL SECTION TITLE ANNUAL COLLEGE CATALOG PREPARATION, PRODUCTION AND PUBLICATION BASED ON BOARD OF TRUSTEES’ RULE AND TITLE 6Hx7-13.1 College Publications NUMBER 10-1002 PAGE 1 OF 2 DATE ADOPTED March 13, 2012 PURPOSE The purpose of this procedure is to establish the method and schedule for the preparation, production and publication of the annual catalogs for the relevant divisions of the College. The catalogs are a compendium of such information and are not a definitive statement of official rules, or an irrevocable contract between the College and its students. Official rules and policies as reflected by the catalogs are maintained in the Board of Trustees' Rules, Florida Statutes, and administrative policy statements. Responsibility for Catalog Preparation and Production The Curriculum Services and Marketing and Communications departments have overall responsibility for coordinating and directing the pre-planning of the catalogs under the direction of the relevant division heads. They shall ensure that the catalog is planned, prepared, and published in the most efficient and cost effective manner available consistent with the College's resources and capabilities, and in consideration of available technology and the costs of preparation. Publication Component The Director of Marketing and Communications is responsible for the publication component of the catalogs. To fulfill this responsibility, the Director will prepare a publication schedule or timeline for the completion of the Catalog and will share that schedule with Presidents Cabinet and with other staff as appropriate. The publication schedule shall include the following items: Notification of all appropriate staff regarding the publication schedule and administrative assignments for review, modification and verification of accuracy for assigned sections of each catalog; and Publication of the catalogs to the appropriate areas of the College’s web domains. The assigned administrator is responsible for the accuracy and verification of all catalog information in the assigned section. If subject matter to be included in the catalogs includes material existing in a Board Rule or administrative procedure, the content must be in compliance with Board Rules and administrative procedure. Catalog statements that reference Board Rules and administrative procedure should be easily understood and accurately paraphrase rules and procedures. In the event of a discrepancy, the Board Rule or administrative procedure is the official document of record. The source materials for the updates are the curriculum proposals, completed via the appropriate curriculum processes. Courses are removed from the curriculum section of the Catalog according to established purge procedures. (See Administrative Procedures Manual Volume IX for details of college credit and non-college credit curriculum processes and course master file purge.) The appropriate deans and program managers shall examine their respective programs of study and advise Curriculum Services of apparent errors or desired modification to non-official program descriptions.
