Enrollment Services Division Council Newsletter El Camino College SEPTEMBER 2014 Student Development/ASO/ICC/AGS We have two new members to the Student Development team: Michelle Arthur, Acting Director and Rudi Lopez, Administrative Assistant I. ASO was out on the library lawn during Welcome Week selling donuts, coffee, and water. It was a successful fundraiser. 30-45 clubs and student organizations participated in Club Rush from September 15th- 18th. Domestic Violence Awareness events will be held on Tuesday, September 23rd. The YWCA will be participating by bringing a Clothesline Project display to be set up on the library lawn between 11am-3pm. Instructor Stacey Allen will be holding a seminar on Dating Violence from 1pm-1:45pm in ARTB317. The SDO’s Social Justice Program will be collaborating with the Office of Staff & Student Diversity and Graduation Initiative to put on Hispanic Heritage month events. This month’s Documentary will be on September 25th from 3pm-5pm in the Social Justice Center. We will be showing “A Class Apart”. A Food & Music Festival will be held on September 30th from 12:30pm-2:30pm on the Library Lawn. ASO has registered for the annual California Community College Student Affairs Association (CCCSAA) conference which will be held in Los Angeles from October 17th- 19th. William Guerra has been working on cleaning out and organizing our storage closets. Assessment/Testing Hoping you all had a lovely summer. The Assessment/Testing Office started with a busy summer. As we begin the fall semester the office have seen a decrease in the number of people taking tests, but at the same time are receiving calls with questions in all different areas of Testing and calls with results from other schools to be entered into Datatel Colleague. Thanks to Vicki Lockridge for providing us notes which explains in detail how to enter results in the CON, STMC and NCRS screen. On another note, two of our temporary, non-certificated staff are also working temporarily one day a week in the Enrollment Services Division Office. Page 2 Enrollment Services Division Council Newsletter First Year Experience (FYE) The FYE coordinator will attend the annual Hispanic Association of Colleges and Universities (HACU) conference on October 4-6, 2014. FYE students are expected to visit Homeboy Industries on Friday, Oct 17th to meet with the founder and executive director, Father Greg Boyle. FYE will host the following workshops during the month of October: Internships, UC Strategies, TAG Workshops, and UC applications and CSU applications workshops. Financial Aid As of today, the Financial Aid office has disbursed Pell and SEOG grants to 25,978 students. Due to a high number of students who did not receive or accidentally destroyed their Higher One Debit Cards, the Financial Aid staff has been continually processing requests from students to order new or replacement cards. Preparations are underway for the Financial Aid Fair scheduled on October 15, 2014 from 12:00pm – 1:30pm. The Financial Aid Assistants in Administration 138 are having difficulty communicating to students because of the way the windows were set up. Steps are being taken to address these concerns for the overall betterment of the Financial Aid Office service windows. Because there is no air conditioning in the hallway at the Financial Aid windows in Administration 138, Facilities is working with Campus Police to help to keep students cooler while waiting in line. Campus Police will open the sliding glass doors to the hallway each Monday morning and each evening the night custodians would lock them upon arriving. The custodians would then open them again at the end of their shift (6:30) except on Fridays as the building would remain locked for the weekend. This was the practice when the Cashiers previously occupied the same space. Outreach and School Relations 34 Student Ambassadors have been hired, trained, and are beginning to be sent to various outreach events throughout the district. Included in the 34 are 7 Student Ambassadors assigned specifically to help in the Financial Aid Computer Lab. Outreach counselors will be brought on board in October and November to assist at the local high schools with implementation of our SSSP. Counselors will be providing Educational Plans and academic counseling to approximately 25 schools. Outreach is currently finishing up its Program Review due in October. There are 6,087 students currently in our Prospective Student Database. Contact Robin Dreizler if your program wishes to use this database for program recruitment Outreach is expanding services to our local adult schools through the implantation of AB 86. One component is a request to put an Human Development course at each site for Spring 2014. Student Services Specialist position recently closed, OASR will hire soon. Enrollment Services Division Council Newsletter Page 3 Foster & Kinship Education & Adult Ed Liaising Foster & Kinship Education has had a busy summer. Our program responsibilities are year round. Our staff has not changed; there is one full-time classified and two casual employees. The Foster & Kinship Care Education Program follows a fiscal calendar and closes out in June; therefore, during July and August we are closing out the prior year and setting up for the up-coming year. August was a very active month. We were in the process of closing out the 2013-14 program year and putting the structures in place for program year 2014-15. During this period we are completing reports and conducting orientations and trainings to prepare staff for the activities of the new program year. The following provides you with a snapshot of our activities. Operations / Personnel August Foster & Kinship Education will host three Master’s in social Work Students. Alexis Estwick, the program coordinator will be their Field Instructor. The students will provide case management services to former foster youth who are students or potential students at El Camino College. A responsibility of the Field Instructors is to attend CSULB Field Instructor Orientation to become oriented to the 2014-15 academic year. We have two new Work Study students. In order for them to understand our operation and campus policies and practices, we conducted orientation for them. The FKCE pre-service and renewal classes started in July and PS-MAPP foster and adoptive parent pre-service training is scheduled to begin October 4, 2014. Each year we conduct orientation to inform the trainers of changes in practices and policies and to provide staff development in the form of Training – 4-Trainers. This year eight trainers participated in the trainings. One of the purposes of the training is to model how trainings and teaching are to be conducted. September The interns have arrived. Two are from Cal-State University Long Beach and one is from CalState Dominguez Hills. They are enthusiastic and in their process of orientation. They are conducting treasure hunts to learn Student Services and other departments on campus, so that they can be informed and able to actively engage their role of Student Advocates. Foster & Kinship Care Education (FKCE) Program FKCE Program- Both renewal and Pre-service D & F-Rate classes were offered during August and September. FKCE is driven by the number of hours offered. We learned that there is a need during the summer and started classes in July. This year we offered both renewal and preservice classes in July, and August. We also are in the process of preparing the class schedule through February 7, 2015, which is currently in the editing process. By September 30, 2014, we will have offered one hundred and fourteen hours of classes. Page 4 Enrollment Services Division Council Newsletter Partnering for Safety and Permanence – Model Approach to Partnership in Parenting (PSMAPP) It is the beginning of a new contract cycle for PS-MAPP. During this phase of the program it is necessary to prepare and submit the contract for board approval. This objective was successfully completed and approved at the September board meeting. The first module will begin on October 4, 2014 and end on November 8, 2014. The class is team taught, therefore it is necessary and contract required that the trainers engage in a pre-meet. During this month we will prepare curriculum and inventory classroom materials to that we have all supplies and materials. The program is subject to rigorous evaluation by the funder and the Department of Children and Family Services. Student Advocacy and Support Our YESS, Independent Living Program ended December 31, 2014. We continue to serve Transition Aged Youth (TAY) by providing navigation support to Student Services and assistance. During August we served seven students. In September we served twenty-two students. We have also provided other services that help these students meet their extraordinary needs. August Brokered contact between ECC Foundation and LA County Director of Youth Services regarding housing opportunity. Conducted Boot Camp Orientation for twenty-seven (27) TAY students. In attendance were representatives from Testing, The CARE, Cal-Works and EOP&S programs and materials were provided from Financial Aid. Community Partners who attended were LA County Departments of Children & Family Services and Probation. September Coordinated The Digital Pathway Online Training, which is a pilot program with the Department of Children & Family Services –Youth Development Department. Eighteen (18) youth attended of which four were students at El Camino. The remaining attendees received an El Camino Outreach packet. Adult Education Liaising Outreach was provided to Hamilton Adult School in the Spring Semester. During August two of those students responded to previous contacts and reached out for support. A success story is that one student did not realize she would be able to pursue her education easier than she had expected. In September, another student reached out and is ready to prepare to attend the Spring Semester.
