DIVISION COUNCIL MEETING

The meeting began at 9:00am.
Muhammad Ans, ASO Director of Student & Community Advancement was introduced as the
new member of the Student Support Services Division Council.
Review June 18, 2015 Meeting Minutes
The meeting minutes were approved with no changes.
Updates/Follow-up
1. The issue of Datatel Colleague running slow around the noon hour on a daily basis had been
remedied.
2. The division name change from Enrollment Services to Student Support Services took place
on July 1, 2015. The new name has been changed on business cards and web pages and
should be done on all department brochures and web pages.
3. The Student Services Center Building hours have been updated on the building doors to
reflect the new extended hours in Admissions & Records and Counseling, as of August 1,
2015: Monday-Thursday 8am-7pm, Friday 9am-1pm. The Financial Aid Office in the
Administration Building will follow the office hours of the Financial Aid Office in the
Student Services Center.
4. Staff parking Lot C is closed due to the construction of the new Student Services Center and
parking structure. The same number of staff parking spaces no longer available in Lot C was
added throughout the other campus parking lots. The new Student Services Center is
scheduled for completion by Fall 2017.
5. The new Director of Student Development, Greg Toya, is very experienced and the
department anticipates great changes for next year. The ASO/ICC retreat is scheduled for
next week. The Student Activities Center building hours will be a little different.
6. Outreach & School Relations is preparing for Student Welcome Day on August 19, 2015.
7. Long financial aid lines are expected this time of the year. Students who have applied for
financial aid by June 1, 2015 and submitted all their financial aid documents should receive
their first disbursement by August 28th – August 31st. First disbursements will be sent to
5,400 students who will receive either a Supplemental Education Opportunity Grant (SEOG)
or Federal Pell Grant. There are three ways to receive disbursements through Higher One:
debit, direct deposit (2 to 3 business days) or paper checks (mailed in 5 to 7 business days).
Issues/Concerns
1. Parking permits for students who are working on campus during the summer will expire a
week before Fall 2015 classes begin. Outreach will contact Campus Police to find out what
students can do for the week they will not have a valid parking permit. Will the offices have

to distribute one day passes for each student worker? Having a Fall 2015 semester student
parking permit may cover the gap.
The process of converting student workers (who are not attending summer school) to casual
workers still has not been finalized. Federal regulations created the change in the process.
The same students will have to be changed from casual workers back to student workers if
they are considered as student workers in the fall.
Honors Transfer Program students have been complaining about having the same courses
offered – the choices have not changed. HTP courses are select classes – specifically created
and designed by faculty to follow higher standards for honor students. The HTP Advisory
Council does discuss the types of classes offered and when they are offered. R. Dreizler is a
member of the Council and will bring up this student concern at the next meeting. There is
also a student member on the Council who students can talk to about this issue. R. Dreizler
will give the name of the student member to M. Ans. Students also can express their concerns
to the Co-Directors of the program, Joe Holiday or Rachel Williams.
Facilities will be testing the fire alarm system in each of the buildings on campus this week.
This will include the Student Services Center, but the schedule is not known - how will
everyone know if it’s a test or if it’s a real emergency?
SCA Area Council will need an alternate member representing our division as a backup for
Alexis Estwick. The suggestion was made to rotate division council members as alternates.
This discussion will be tabled for the next meeting since not all members are present today.
SCA Area Council meets once a month, on the first Wednesday of each month from 2pm3pm.
W. Garcia emailed the Student Support Services managers for the names of their
department’s alternate for division council.
